Accounting Clerk - Finance

(permanent, full-time, 35 hours per week)

The Accounting Clerk - Finance position reports to the Assistant Director of Finance and Corporate Services, or designate, and performs various accounting functions in the Finance Department.

DUTIES:

  • Using a computerized accounting system performs various tasks that primarily focus on processing data into the General Ledger. Maintains databases related to tasks; creates batches, prepares and enters data into batches, balances and closes batches. Analyzes and balances general ledger accounts.
  • Creates journal entry batches, enters journal entries, balances and closes batches; prepares and uploads journal entry interfaces from International Education; ensures that journal entries are appropriately approved.
  • Creates budget entry batches, enters budget entries, balances and closes batches; prepares and uploads budget entry interfaces.
  • Prepares and uploads data files to bank for PADS transfers; downloads data files from the bank that contain information that must be interfaced into the school district's accounting system. Follows up and resolves NSF PADS. Reports abnormal transactions to bank for investigation.
  • Collects and logs all forms of payments received for the Board's various bank accounts. Cross references and balances credit card and wires payments received with the International Education student information database. Follows up on discrepancies.
  • Assists with the preparation and processing of deposits. Assists with the preparation of bank reconciliations. Acts as backup for Accounting Services Clerk's facilities rentals duties.
  • Collects, collates and processes information from the schools to create and issue charitable tax receipts.
  • Opens and/or closes the reception area daily; relieves Receptionist for break and lunch periods; acts as temporary backup to the Receptionist; participates in the training and support of casual receptionists.
  • Prepares outgoing mail; maintains appropriate cash balance in postage meter; receives and distributes inter-office mail. Organizes Canada Post mail re-direction during school closures.
  • Ensures that all regulatory rules, Board policies and generally accepted accounting standards are appropriately applied and complied with including Canada Revenue Agency (CRA) rules regarding GST reporting and rebates; and T4A reporting compliance.
  • Prepares correspondence; maintains files, forms, lists and records; responsible for the department's records retention; liaises with clients, bank contacts, school district staff, government agencies, etc.; safeguards the assets of the organization; operates standard office equipment; performs other departmental duties as required.
REQUIRED KNOWLEDGE AND SKILLS:

Completion of Grade 12, including courses in business education, which include the principles and practices of accounting, spreadsheets, word processing and accounting software.

Completion of at least one year of post-secondary accounting or bookkeeping courses.

One year of directly related work experience; thorough knowledge of current office procedures, accounting practices and procedures, computer operation and software applications related to work performed; ability to use word processing, spreadsheet and other computer-based software; effective written and oral communications skills.

Speed and accuracy in making mathematical computations (195 kspm) and keyboarding/typing (40 wpm).

This is a unionized position which offers $31.72/hour, 35 hours a week, including an attractive benefit package which includes extended health, dental, MSP and a pension plan (MPP).
