Administrative Assistant to the Secretary-Treasurer
We are seeking a highly organized and professional Administrative Assistant to support our Secretary-Treasurer and other management staff in this 12-month* excluded position. This role is crucial in ensuring the efficient operation of the Office of the Secretary-Treasurer and involves a variety of administrative tasks requiring superior secretarial and computer application skills as well as excellent written and oral communication skills. Work is performed independently, with limited direction, and requires the utmost in confidentiality and diplomacy.
*Update: please note, "12-month" staff work year-long as opposed to our 10-month school-season staff; this is not in reference to a fixed term, it is an ongoing, continuing position.
Roles and responsibilities will include the following
- Provide executive secretarial and administrative support services to the Secretary-Treasurer, Director of Human Resources, Controller and the Board of Education
- Attend Board of Education meetings and prepare agendas and minutes for Board of Education meetings/committee meetings using the iCompass program
- Coordinate and assist in the arrangement of schedules, travel, meetings, correspondence and other similar aspects of this responsibility
- Maintain communication and contact with all staff who report to the Secretary-Treasurer
- Use initiative in dealing with matters involving communication with employees, members of the public and others under the direction of the Secretary-Treasurer
- Compose, edit, format and proofread written materials/correspondence/contracts
- Submit reports and required documentation to the Ministry of Education and Child Care, BCPSEA and other government agencies as required
- Prepare News Releases
- Coordinate criminal record checks, WorkSafe planning and reporting, scholarship and bursary payments, district credit cards and exempt staff interview processes
- Assist Secretary-Treasurer with school trustee civic elections
- Other related responsibilities that may be assigned by the Secretary-Treasurer and others such as coordinating and attending other meetings
Qualifications:
- A minimum of Grade 12 or equivalent
- Successful completion of an Office Administration Program (Certification) or equivalent knowledge and experience (testing may be required)
- Keyboarding - 55 wpm (testing may be required)
- Strong technical skills and abilities in the Microsoft Office Suite and success completion in the following courses would be an asset (testing may be required):
- Microsoft Word Advanced Course
- Microsoft Excel Advanced Course
- Proven skill/ability drafting written communication for various purposes (testing may be required)

The salary range for this position is $68,153 - $85,191 per year with a comprehensive benefits and Municipal Pension. Placement in the salary range is determined by an assessment of qualifications and ability to meet the key requirements of the job, and consideration of internal equity comparisons.
