Assistant Transportation Manager - 1.0 FTE

Position Summary:
The Transportation Assistant Manager works closely with the Transportation Manager to ensure the smooth operation of student transportation services across the Division. This position supports training and IS driver teams, communication, and supervision efforts while fostering a culture of safety, teamwork, and service excellence.
Key Responsibilities:
1. Operational Support
1.1. Assist the Transportation Manager in the day-to-day operations of the Transportation Department.
1.2. Address parent, driver, and public concerns through meetings, phone calls, or written responses to prevent escalation, keeping the Transportation Manager informed of significant issues.
1.3. Work independently, managing multiple priorities with strong organizational and time management skills.
1.4. Assist in the supervision of office and bus driver staff as directed by the Transportation Manager.
2. Transportation Routing
2.1. Support the Routing Department as needed.
2.2. Assists with route hazard assessments and creates spreadsheets for corrections to appropriate stakeholders.
2.3. Assist dispatch in ensuring routes are properly staffed and adjusted as required.
3. Communications and Public Liaison
3.1. Promote open, transparent, and effective internal and external communication.
3.2. Works to ensure high levels of satisfaction among parents, students, drivers, and school staff regarding transportation services.
3.3. Work with the Transportation Manager as a contact for concerns from parents, drivers, and school administrators, offering guidance and solutions.
3.4. Liaise with other departments and external agencies (e.g., RCMP, Alberta Sheriffs, County Administrators) regarding transportation matters.
3.5. Represent the Division, alongside the Transportation Manager, at meetings and forums such as AMTA, STAA, and ASTAC.
3.6. Attend provincial meetings, workshops, and conventions.
3.7. Provide support to School Administrators and Senior Administration regarding transportation issues.
3.8. Demonstrate strong listening, communication, and interpersonal skills.
4. Bus Driver Relations
4.1. Assist with recruitment, onboarding, and ongoing development of bus drivers.
4.2. Support driver coverage for absences and operational needs.
4.3. Maintain positive, respectful relationships with drivers, promoting a supportive workplace culture.
4.4. Assist in preparing and occasionally facilitating start-up and in-service meetings.
4.5. Post job openings and assist in hiring new spare and route drivers under the Transportation Manager’s direction.
5. Transportation Manager Relations
5.1. Maintain positive, professional working relations with the Transportation Manager.
5.2. Support the implementation of Board policies and Transportation Department initiatives.
5.3. Provide accurate and timely information to assist the Transportation Manager in effective decision-making.
5.4. Act on behalf of the Transportation Manager in their absence.
6. Emergency Response
6.1. Serve as back-up to the Transportation Manager on the Administrative Command Team for emergency situations.
6.2. Participate in weather-related transportation decisions, including service suspensions.
6.3. Communicate service cancellations to media and stakeholders as required.
7. Administrative & Documentation Responsibilities
7.1. Update and maintain department documentation, including:
7.1.1. Payroll documents for new hires
7.1.2. Seniority sheets
7.1.3. Timesheets and first aid certification records
7.1.4. Bus Planner entries and Auto Scheduler updates
7.1.5. Bus Reference Guide, motor vehicle accident records, and UFA spreadsheets
7.1.6. Charter invoices and expense tracking
7.1.7. Route postings and other documentation as needed
7.1.8. Required reports and updates (e.g., cargo securement, job descriptions)
7.2. Ensure timely submission of reports, timesheets, and related documentation.
7.3. Assist with the Alberta Education Grant.
7.4. Complete additional administrative tasks as assigned by the Transportation Manager.
8. Compliance and Oversight
8.1. Monitor compliance with government and insurance requirements, including National Safety Code standards.
8.2. Assist with transportation audits.
8.3. Serve as an employer representative on the Transportation OH&S Committee.
8.4. Maintain Alberta Transportation fleet and route information in partnership with the Fleet Admin Lead and Central Office.
8.5. Oversee Special Needs Transportation in collaboration with the M2S program.
8.6. Assist, in the absence of the Transportation Manager, in preparing driver payroll (Atrieve) and school billing for charters.
8.7. Request a collision review to have the not-at-fault accident points removed from the carrier profile.
9. Organizational Management
9.1. Ensure compliance with all legal, ministerial, and Board requirements within assigned responsibilities.
9.2. Contribute to a collaborative, team-oriented culture focused on safety, efficiency, and service excellence.

11. Other Requirements
11.1. Ability to have flexible working hours
11.2. Provide support to other departments when required.
11.3. Assist with snow day communications, including notifying Senior Administration and media by 6:15 a.m.
11.4. Ensure prompt communication with schools regarding charter cancellations.
11.5. Supervise training programs and monitor compliance with the 2S program.
Qualifications:
Minimum of a High School Diploma.
Knowledge of School Transportation Regulations, Commercial Vehicle Safety Regulations, Traffic Act, OH&S Act, and school division operations is considered an asset.
Strong organizational, problem-solving, and multitasking abilities.
Excellent interpersonal, verbal, and written communication skills.
Experience in student transportation, logistics, or a related administrative leadership role preferred.
Demonstrated ability to work independently and in collaboration with cross-functional teams.
