Under the direction of the Team Lead Human Resources Coordinator , the Administrative Assistant provides a broad range of administrative services to assist with the effective management of employee relations. The role provides administration support to Teaching and Admin and Support Staffing Officers as well as the Team Lead



Job Description:

  • Provide administrative support to the HR Officers and the Team Lead

  • Support the full recruitment life cycle, including drafting and posting job opportunities on various platforms (Apply to Education, LinkedIn, Indeed, etc.), reviewing applications, scheduling interviews, administering tests, and preparing related materials

  • Support the various transfer processes

  • Perform administrative duties for all OCSB casual staffing and communicating with casual employees regarding their employment status

  • Liaise with employees, Principals, Managers, Superintendents and external organizations and candidates

  • Maintain seniority lists

  • Provide guidance to staff on Board staffing policies and procedures

  • Maintaining support documentation for various processes as well as preparing data for various reports and summaries

  • Responding promptly to inquiries from employees, departments, schools, external organizations, and the general public via email and phone

  • Providing support with implementing HR initiatives as directed

  • Performing other administrative duties as assigned



Required Qualifications:

  • One year of post secondary education

  • 3 years of administrative experience

  • Proficiency with Google Suite (Gmail, Forms, Sheets, Drive, etc.), spreadsheets and database management

  • Demonstrated attention to detail

  • Excellent organizational and communication skills

  • Strong analytical and time management skills

  • Ability to create and maintain strong working relationships with stakeholders

  • An equivalent combination of education and experience may also be considered



In addition, the following will be considered an asset:

  • Completion of a post secondary degree/diploma/certificate in a related field

  • Experience with HR processes and databases (ie. HRIS, etc)

  • Experience with Apply To Education (ATE)

  • Experience with Laserfiche

  • Previous school board experience



This is a full time (1.0 FTE) temporary position with an annual salary range of $54,167 - $66,088. The approximate duration will be 18 months with an anticipated start date as soon as the recruitment process is complete and the anticipated end date will be July 30, 2027.
