Your role
- Proactively and independently manage the calendars, emails and follow ups of three Vice Presidents, prioritizing requests and anticipating needs.
- Coordinate the logistics of meetings and management forums (e.g., quarterly calls, one on one meetings, performance reviews), including the preparation of presentations.
- Organize business travel and expense tracking, both in Canada and internationally.
- Plan and support the logistics of events, biannual kick-off meetings and training sessions (virtual and in person), including vendor coordination and administrative follow up.
- Provide high level administrative support and take ownership of certain HR and IT processes, while operating with discretion and trust.
- Join a community of engaged assistants, collaborating closely with colleagues to share best practices, support one another and contribute to the continuous improvement of support across the sector.

Prerequisites
- High school diploma and 3 years of relevant experience, or college diploma and 1 year of relevant experience
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Demonstrated experience managing complex and changing calendars
- Strong autonomy and ability to anticipate team needs
- High attention to detail, excellent task execution, and ability to manage priorities
