Executive Assistant

The GWAM Retirement Operations team is looking for a highly skilled Executive Assistant (EA) to provide outstanding support to an AVP and VP. In this role, you will manage daily schedules, coordinate meetings, handle correspondence, prepare reports, and occasionally conduct research. We are seeking a candidate with strong organizational skills, meticulous attention to detail, and the ability to handle confidential information with discretion. As an Executive Assistant, you will serve as a key liaison between executives, other EAs, staff, and external contacts, ensuring seamless communication and coordination. Position Responsibilities:

  • Provide advanced administrative support to AVP and VP level staff, relieving them of detailed tasks and taking initiative within established guidelines.

  • Manage complex and frequently changing calendars, schedule meetings, prepare agendas, and draft invites with additional context for attendees.

  • Coordinate travel arrangements, including handling foreign travel details such as entry papers and visas, and complete expense reports.

  • Serve as the office manager for staff, assist with departmental events, and perform other administrative duties like taking meeting minutes.

  • Communicate information between executives and internal/external contacts, prioritize meeting requests, and handle urgent matters using judgment.

  • Manage assigned projects to ensure timely completion, assist in crafting draft presentations, and act as a backup for other Executive Assistants, maintaining agility as priorities shift.

Qualifications:

  • Bachelor's degree in administration, business, or a relevant field.

  • 2-5 years of administrative assistant experience, with some project management experience preferred.

  • Proficiency in all MS Office applications and a proven ability to adapt to new technologies.

  • Strong verbal and written communication skills for engaging with senior officers and representatives.

  • Excellent organizational skills, including meeting planning, coordination, priority setting, and task management.

  • Ability to navigate complex and sensitive situations with excellent judgment, discretion, empathy, and a collaborative approach.

Salary range is expected to be between

$49,125.00 CAD - $81,875.00 CAD
