Description
The Administrative Assistant is responsible for providing administrative and organizational support to the Director, Human Resources Services and the Director of Employee Relations & CSSO. The candidate will provide complex and confidential administrative support in a dynamic environment and will function with a high degree of attention to detail, quality, accuracy and prioritization of work in a team setting. This role will also support administration of absence related documentation, system input and related inquiries and support the monthly benefit related billing process. While Administrative Assistants support individuals, they share responsibility for supporting the collective needs of the team and support the service atmosphere and professionalism that exemplifies Mackenzie Health’s values and guiding principles.
Contribute to safe, quality care by:
- Providing high-level administrative support to two Directors, managing workflows, priorities, correspondence, and day-to-day operations.
- Serving as a key liaison for internal and external stakeholders, ensuring professional and timely communication.
- Completing payroll administration for the HR department, ensuring accuracy and confidentiality.
- Supporting sick leave and benefit billing administration processes
- Managing HR asset tracking and lifecycle management.
- Providing HR reception desk coverage as required
What must you have?
- Successful completion of Degree or Diploma in Business, Office Administration, or equivalent combination of education and experience.
- Minimum 3-5 years of progressive administrative experience, preferably supporting senior leadership in a complex, fast paced environment (healthcare or public sector experience is an asset).
- Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
- Strong written and verbal communication skills
- Experience coordinating schedules, communications, and multi-stakeholder workflows.

Experience managing expense reports, budgeting and procurement requirements adhering to corporate guidelines.
Ability to perform the essential duties of the job.
