Description

You are a detail-oriented and organized Proposal Administrator who will support the preparation of prequalification, proposal, and tender submissions. Reporting to the Manager of Marketing and Proposal Technology, this role involves document control, compiling resumes and project profiles, maintaining the project database, creating experience tables, and supporting presentation development.

Essential Responsibilities:

  • Provide administrative support to Proposal Coordinators by creating resumes, project profiles, and experience tables according to templates. Assist with document clean-up, presentations, meeting minutes, and participate in full proposal cycles to build understanding
  • Assist in enhancing the visual quality of proposals through photo editing and organizational chart creation
  • Update and maintain proposal resources such as resume and project data, employee headshots, and testimonials. Ensure consistency with branding and liaise with internal teams for updates
  • Handle administrative tasks such as downloading proposal files from client portals, updating passwords when necessary, and organizing documents according to the proposal file structure
  • Conduct general administrative duties including maintaining SharePoint and Box folders, backing up key documents, and managing shared inboxes
  • Monitor the proposal mailbox, submit project photos for HS&E approval, assist with presentation slide development, and support improvements to the proposal process

Qualifications:

  • 2+ years of similar experience in a high-volume data-driven environment
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Proficiency in Visio, Adobe Pro, InDesign, Photoshop, and SharePoint would be considered an asset
  • Strong communication and listening skills to deliver messages in a clear and compelling manner
  • Excellent attention to detail, with a high level of precision of data and accuracy in any deliverables
  • Capable of exchanging basic information, probing and asking questions, and confirming understanding

Working Conditions:

  • Remote, work from home with 3 days per week in the office

Compensation

$51,750- $63,250 Annual

This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
