As the Events and Meeting Coordinator you will ensure a ‘One Ledcor’ approach to small, medium, and large meetings and events across the entire Ledcor Group of companies. Working closely with the operating group sponsor to understand their requirements and will be responsible to ensure optimal service based on the required level of assistance. Maintain up to date calendar of events of all meetings and events. Leverage our preferred partners and provide reporting of the meetings and events spend so we have a holistic view of the T&E spend.This is a 20-month fix term contract that provides health, dental and vacation benefits. Essential Responsibilities:
- Lead and support the planning and execution of corporate meetings and events, acting as the primary liaison with internal teams, venues, suppliers, and vendors
- Develop and manage RFPs, source and evaluate venues, and review or finalize proposals and related correspondence
- Coordinate hotel accommodations, including room blocks, traveler communications, and preparation of rooming lists
- Ensure all event details are finalized and clearly communicated, overseeing décor, F&B, AV, rentals, security, entertainment, and special requirements
- Collaborate with internal departments (Communications, HR, IS, etc.) to produce digital, promotional, and multimedia materials on schedule
- Develop event critical paths, manage budgets, and provide onsite event support including setup, execution, teardown, staffing, logistics, and shipping
- Partner with executive sponsors or regional coordinators on agendas, speakers, presentations, and detailed event schedules
- Arrange attendee transportation, including flights and ground transportation, and coordinate meals and breaks throughout events
- Maintain vendor databases, pricing matrices, event calendars, and records
- support corporate travel administration and drive process improvements
- Perform expense coding and collaborate with Accounts Payable to reconcile and ensure timely payment of direct-billed invoices
Qualifications:
- Completed secondary education or certification in travel-related courses
- 4+ years’ experience in meetings and events (corporate, hotel, or convention environments)
- 2+ years’ experience with hotel meetings and events RFPs and contracts (preferred); corporate travel experience is an asset
- Strong vendor management, negotiation, and customer service skills
- Excellent interpersonal, written, and verbal communication skills across diverse stakeholder groups
- Proven ability to manage competing priorities with strong time management, organization, and attention to detail
- Strong problem-solving and decision-making skills with the ability to work independently
- High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); self-motivated, professional, and adaptable in fast-paced environments
Working Conditions:
- Hybrid role with a mix of remote work and in-office attendance, with flexibility to be on-site as business needs require
- Occasional travel required to various office locations
