Description:
The Secretary to the Assistant Superintendents of Education provides comprehensive administrative, organizational, and logistical support to two Assistant Superintendents and the Board Math Lead. This role is central to the effective operation of the Curriculum K-12 portfolio, ensuring cohesive support across elementary and secondary teams. Responsibilities include:
Administrative & Operational Support
- Serve as the head clerical lead for the Nicholas Mancini Centre (NMC), providing guidance and coordination for the clerical pool.
- Provide full administrative support to two Assistant Superintendents and the Board Math Lead.
- Coordinate communication with schools, including System Memoranda, Items of Information, and email communication.
- Support NMC reception coverage as needed.
- Organize calendars, meetings, scheduling, room bookings, and events for the Curriculum & Assessment team.
- Process staff payments (mileage, reimbursements), service contracts, Christian Service Animators, Tutoring Coordinators, interpreters.
- Collect, organize, and prepare data sets to support Board reports, ministry submissions, and system-level monitoring.
- Provide high-level administrative support to curriculum teams including consultants and special assignment teachers.
- Support planning logistics for elementary and secondary professional development, including session set up, communication, materials, attendance tracking, and follow up.
- Assist in the coordination and communication of board wide curriculum initiatives, assessment practices, and ministry directed programs.
- Organize, track, and support implementation tasks for curriculum projects and pilot projects across divisions.
Program & Event Coordination
- Support non-credit summer learning programs (job postings, hiring processes, registration, class set-up, attendance, data collection, etc.).
- Support system-wide events such as the System Science & Engineering Fair, BASEF, Junior Math Challenge, and Public Speaking Forum.
- Collaborate with community partners (Hamilton Public Health, Art Gallery, Early Years, Dundas Valley School of Art, Artsaround, Student Trustees, Student Council Presidents, etc.).
- Support and update annual student agendas.
- Provide administrative support for Outdoor Education programs at Camp Marydale and Camp Brébeuf.
- Other duties as assigned.
Qualifications: Applicants should possess the following:
- Community College certificate or equivalent;
- Experience with SparkRock, Aspen and Apply to Education;
- Experience managing a large budget would be an asset
- Exceptional secretarial and organizational skills;
- Proficiency with Microsoft Office - Excel, Word
- Demonstrated discretion and judgment in dealing with confidential information;
- Excellent communication skills, written and oral;
- Ability to take initiative, prioritize and plan ahead in a fast-paced environment;
- Excellent interpersonal and organizational skills;
- Previous experience working for Senior Management or System Level experience is an asset.

Clerical Job Category 6 (C.U.P.E.) $29.00 - $32.17 per hour
