Program Secretary

Reporting directly to the RGPc Manager, the RGPc Program Secretary role provides full confidential administrative support to the RGPc Manager, Chair and other disciplines including the Education Coordinator as required. The Program Secretary is responsible for organizing schedules, files, reviewing budgets, running statistical reports, checking for accuracy, problem solving when issues arise and supporting human resources matters. The Program Secretary supports management of activity associated with RGPc educational offerings (workshops and events) including scheduling, managing registration, preparing documents and reports, and engaging with partners and learners. The Program Secretary also manages updates to the RGPc Website (www.rgpc.ca) using Wordpress content management system. The Program Secretary develops and maintain good working relationships with all members of the department and affiliated program personnel. Confidentiality is essential to this position.


Qualifications

1. Graduate of Community College Business Secretarial Program
2. Minimum 2 years current related experience
3. Excellent computer skills in a variety of applications including Microsoft Office, Payroll, Taleo, Budget Tool
4. Demonstrated ability to meet project and task deadlines, excellent organizational skills and effective problem solving abilities
5. Knowledge and experience with Wordpress content management system
6. Knowledge and experience with human resources processes related to new hires and staff transfers
7. Excellent transcription and minute-taking abilities
8. Demonstrated ability to create and maintain various databases and generate reports from these databases
9. Proficient keyboarding skills (60 wpm)
10. Demonstrated excellence in effective communication (written and verbal), interpersonal and problem-solving skills
11. Demonstrated ability to work on own initiative, organize and establish priorities 
12. Demonstrated ability to develop systems that create efficient work flow
13. Demonstrated ability to appreciate confidential nature of position
14. Demonstrated ability to work effectively in a team environment
