The Administrative Assistant will work directly with the Centre for Healthy Aging Geriatricians providing organizational and administrative support including maintaining physician schedules, phone and email correspondence, maintaining computer filing systems, completing financial reports, ordering supplies, preparing presentations, scheduling, billing and supporting management of physicians, patient or family concerns. The administrative assistant organizes internal and external meetings, i.e. sets meeting schedules, books rooms, prepares meeting materials, takes and distributes meeting minutes, agendas and other materials. Synthesizes data and produces reports, including those of research or academic nature. The Administrative Assistant will report to the Centre for Healthy Aging Clinical Manager in collaboration with the Geriatrics Head of Service.


Qualifications

• Diploma in medical office administration/secretarial support or equivalent work experience - minimum of 5 years’ experience required
• Excellent data entry/keyboarding skills required
• Demonstrated ability to create and maintain various databases and generate reports from these databases
• Proven calendar management, experience developing agenda and taking minutes
• Demonstrated proficient computer skills in spreadsheets and database systems including MS Office, Windows, EPIC, Sharepoint, Taleo, Workforce Pro, Clinical Connect
• Demonstrated ability to work on own initiative, organize and establish priorities
• Demonstrated ability to meet project and task deadlines, excellent organizational skills and effective problem solving abilities, work with minimal supervision
• Understanding of methods to maintain client confidentiality
• Demonstrated excellence in effective communication and interpersonal skills within a professional environment and understanding the importance of confidentiality
• Experience working with the senior population
• Commitment to ensuring an optimal patient experience within a senior friendly setting
• Understanding of methods to maintain client confidentiality
