Detailed Overview
Under the general supervision of the Manager, Hospital & Community Mental Health Services, the Secretary, Psychiatry Outpatient Services, performs receptionist duties, provides secretarial services and support to clinical staff by opening, maintaining and closing patient files and performing other related clerical duties.
Responsibilities
- Assists with client intake by performing admission duties such as obtaining information from patients, completing documentation required for admission and discharge, and liasing with information sources to obtain additional client information; schedules and confirms clients for program(s) and /or service(s)
- Performs word processing and data entry functions such as inputting client information into relevant computerized systems, ie. meditech, maintaining relevant registers, updating manuals, and preparing reports, charts, tables, presentation material, and newsletters from rough draft or general instruction, using word processing, spreadsheet, graphics, database, and other software applications; proofreads documents as required.
- Performs clerical duties such as receiving, recording, sorting, and distributing incoming and outgoing mail, faxes, internal correspondence, and courier documents, completing forms for signature, and packaging items for shipping; signs for receipt of packages and shipments including supplies.
- Answers routine inquiries by telephone and in person form a variety of sources such as clients, doctors offices, hospitals, staff and the public, and provides direction and /or routine information about programs and policies; refers problems to immediate supervisor.
- Performs record management duties including setting up and maintaining filing systems, indexing files and materials to be filed, and conducting file searches for requested information.
- Performs routine staffing and timekeeping functions such as calling in relief staff from a pre-established list, tracking hours worked and reviewing timesheets for accuracy.
- Gathers and compiles information required, such as client information and workload statistics.
- Performs general office functions such as booking and setting up meeting rooms, arranging conference calls, and tidying reception area.
- Place purchase orders with external suppliers, receives supplies, check invoices against orders and goods received, store and distribute supplies, and contact suppliers to obtain and/or provides routine information.
- Takes, types, and distributes meeting minutes.
- Performs other related duties as assigned.
Education and Experience
Grade 12 and two (2) years' recent related experience or an equivalent combination of education, training and experience.
Skills and Abilities
- Ability to keyboard at 45 w.p.m.
- Knowledge of medical terminology.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to organize work.
- Ability to operate related equipment.
