The salary range for this position is CAD $29.30 - $38.45 / hour

Detailed Overview

Supporting the Vision, Values, Purpose and Commitments of Fraser Health including service delivery that is centered around patients/clients/residents and families:

Provides organization support for assigned programs such as new employee clinical orientation, clinical professional development, education technology strategy, clinical policy office, patient education, student practice, practice transition and mentorship, simulation learning. Liaises with internal and external contacts such as academic institutions, regulatory colleges, corporate partners, clinical and informatics teams, other health authorities, and functions as the central point of contact for the coordination of designated programs/projects. Reviews and catalogues tools/resources/materials/records, coordinates program activities and workflow, develops and implements work methods and procedures that support the objectives of the assigned programs/projects, maintains electronic files/summaries/reports, and recommends process and system improvements.


Responsibilities

  1. Coordinates and provides organization support for assigned programs/projects and all related activities.
  2. Functions as the central point of contact for assigned programs/projects. Receives and responds to related queries, prepares and distributes communications/correspondence, liaises with internal and external contacts for communications around programs. Clarifies information and resolves issues and/or escalates queries to the Leader and/or Director as appropriate. Maintains current lists for key contacts, program service providers, and facilitators.
  3. Assists in the evaluation of assigned programs/projects by coordinating participation and evaluation information, conducting preliminary analysis, generating summaries, coordinating with participants, and reviewing evaluation results with the team.
  4. Catalogues written and electronic records. Coordinates and maintains processes for receiving, reviewing, processing, tracking, filing, cataloguing, and retrieving materials, resources and records.
  5. Establishes and maintains databases and records, including those related to sensitive student and Fraser Health employee data. Promotes the use of related databases at Fraser Health and may provide guidance and training to users.
  6. Organizes and coordinates the activities and workflow within the assigned programs/projects, develops and implements work methods and procedures that support the objectives of the programs/projects, determines priorities, resolves day-to-day problems and evaluates operating procedures/processes. Reviews existing practices and develops and recommends process and system improvements; implements approved changes.
  7. Develops, compiles, and initiates a variety of program/project related resources. Analyzes, organizes and reports information and identifies issues or implications to the attention of the Leader/Director as appropriate.
  8. Provides support including coordinating/scheduling meetings, preparing meeting agendas, materials, and minutes, coordinating sessions/workshops/events, drafting/developing/sending correspondence and communications, collecting/summarizing resource materials, maintaining electronic files, and preparing/editing/maintaining documents, web pages and SharePoint site files.
  9. Maintains budget and other program data including analyzing, reconciling, recommending changes, projecting requirements, and preparing funding transfers and budget/report submissions. Identifies and provides input into equipment/resource needs.

Qualifications

Education and Experience

Graduation from a diploma program in administration, project management, adult education, or related field and five (5) years recent, related experience in an education, business or health care environment, or an equivalent combination of education and experience.
