We are looking for an Executive Assistant who will provides confidential executive administrative support services to the VP, Unregulated Business & Quebec. The successful applicant should be a proactive problem solver with superb communication skills, and meticulous attention to detail.

What You Will Do:
Calendar Management: Manage complex calendars, scheduling meetings, coordinating across time zones, and proactively addressing conflicts.
Travel Coordination: Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries, with flexibility for last-minute changes.
Expense Management: Prepare and process expense reports, ensuring compliance with company policies and timely submission.
Event/Meeting Coordination: Plan and execute team events and offsite meetings, including venue selection, catering, and logistics. This also includes quarterly team all-hands and larger internal team meetings.
Relationship Management: Serve as a key contact for internal and external stakeholders, maintaining strong professional relationships and managing communications on behalf of the senior executive.
Project Support: Assist with special projects, data gathering, report preparation, and general administrative tasks to ensure meeting readiness. Co-ordinate with Public Affairs' for leadership external speaking engagements, making sure that is on track, materials are prepared for leaders, etc.
Leadership Meeting Support: Manage agenda for leadership meetings, sending out minutes of meetings and action items as well as follow up on action items as necessary.
Communications Support: Manage internal communications to the team as needed.
Administrative Support: Handle email inboxes where desired by VP, draft correspondence, manage inquiries, and maintain an organized filing system.
Accountable for maintaining positive relationships with internal and external Boards/groups to which the VP provides representation. This requires managing meeting schedules and travel coordination as well as public relations functions.
Who You Are:
Post-secondary graduate in related program and/or equivalent work experience required.
Minimum 5 years of senior administrative experience.
Excellent communication skills both verbal and written, proven work ethic, attention to detail, flexibility with outstanding follow-through and follow-up
Ability to think one step ahead, set priorities, organize workload and thrive in a fast-paced environment
Excellent judgment, exemplary interpersonal skills; respectful of proper corporate protocols and ability to deal with confidential material in a professional manner
High level of initiative/self-direction, with the capability to perform well under pressure while working independently and in a team environment
Sophisticated digital literacy, including MS Office Suite (Excel, Word, PowerPoint, Outlook, Oracle) and demonstrated ability to stay up-to-date with advancements in office applications.
Preferred:
Demonstrated mathematical skills with a strong aptitude for numbers with a basic knowledge of basic accounting principles.
Event Planning and Coordination experience.
Fluency in French is a valuable asset for this role.
Working Conditions:
Office environment - business casual
Expectation of being in the office 5 days a week, with some exceptions.
Tight deadlines, a demanding work schedule and conflicting job priorities.
Simultaneously manages many tasks.
Some travel required (up to 10%). Examples could include accompanying leader for team offsites.
Salary Ranges from $70,000.00 - $80,000.00 CAD for Ontario Canada locations based upon candidate’s experience, skills, and internal equity. Applicable compensation policies and guidelines apply to internal candidates.
