SUMMARY OF THE POSITION
Person who performs work related to the management of human, financial and material resources or procurement. She assumes responsibilities related to the organization of work and the planning of the execution of complex work of an administrative nature such as the collection and analysis of data.
She may also be responsible for the administrative functioning of her sector and sees to its internal and external relations. She is responsible for the activities of the executive office staff.
SPECIFIC FUNCTIONS:
To support, assist in the planning, organizing, controlling, and logistics of administrative work, for the three following directors:
- Director - Support Program for the Autonomy of Seniors (SAPA)
- Director - Healing Lodge
- Director - Special Needs/Mental Health
Operational responsibilities* Performs work related to personnel management, financial management, work organization and planning for the execution of complex administrative tasks by compiling and analyzing data;* Responsible for the administrative operation of a department and oversees the department's internal and external relations;* She/he is responsible for the activities of the department's office personnel.
Strategic responsibilities* Participates in meetings and takes meeting minutes;* Prepares schedules of the departments;* Provides support for each of the directors and their respective teams, both within the organization and with external partners; * Collaborates with his or her immediate supervisor;* Carries out any other assigned duties.
Administrative Responsibilities* Provides support to the Directors in the field of administrative functions and logistics;* Assists the Administrative Process Specialist with his/her duties as required;* Ensures the efficient and smooth day-to-day operation of the Directors offices;* Maintains the upkeep of files and records, office supplies, and admin systems;* Performs administrative support work such as word processing, creating spreadsheets, data entry or retrieval, and functions that may require interpretation, judgment and determining appropriate processes to be used;* Makes travel and meeting arrangements, prepares reports and maintains appropriate filing systems; * Sorting out mail, taking phone calls, and managing meeting room reservations.
Education: * Must have a college diploma (DEC) in general administration, accounting and management techniques, office automation techniques or another appropriate college discipline from a school recognized by the competent ministry or a college diploma (DEC) combined with a relevant undergraduate university certificate or a relevant Attestation of College Studies (AEC) of eight hundred hours or more combined with experience relevant to the field in question.* This job also includes people who hold a college certificate in administrative techniques.
Experience:
- Two years of relevant experience.
Knowledge and Abilities:
- Good knowledge of routine office work, administrative theory, systems, techniques and practice;
- Good working knowledge of computer applications, especially Microsoft Office (Word, Excel and PowerPoint), Virtuo is an asset;
- Knowledge and management of MSSS biomedical software is an asset;
- Be able to work under pressure;
- Excellent communication skills, both written and oral;
- Well organized;
- Teamwork capabilities;
- Autonomous, flexible and discrete;
- Practical, proactive and attentive to detail.
LANGUAGE* Fluent in English and Cree* Fluency in French is an asset.
OTHER:
- May be occasionally required to work outside regular hours when requested;
- Available to travel to communities.
