SUMMARY OF THE POSITION

Person who performs work related to personnel management, financial management, work organization and planning for the execution of complex administrative tasks by compiling and analyzing data.

This job title also includes the person who is responsible for the administrative operation of a department and who oversees the department's internal and external relations. She/he is responsible for the activities of the department's office personnel.

REQUIREMENTS

Education:

• Must have a diploma of college studies with a specialization in Administrative Techniques or in an appropriate discipline from a school recognized by the ministère de l'Éducation du Loisir et du Sport;

• This job also includes persons who, after having acquired relevant experience, obtained a certificate of college studies in Administrative Techniques.

Experience:

• Two years of relevant experience;

Knowledge and Abilities:

• Good knowledge of routine office work, administrative theory, systems, techniques and practice;

• Good working knowledge of computer applications, especially Microsoft Office (Excel, Word and PowerPoint)

• Prepare, edit format documents, letters, reports and spreadsheets;

• Be able to work under pressure;

• Assist the Coordinator with Human Resources related check-ins for the teams (probation follow-ups, attendance tracking, reminders to staff);

• Excellent communication skills, both written and oral;

• Collect, verify and forwards timesheets, leave requests and replacements forms to Human Resources and Payroll according to established procedures;

• Maintain up-to-date contact lists, on-call lists and staff directories for MAINT/SEC/DRIVE. Handle confidential information with discretion and in accordance with Human Resources policies;

• Provide frontline Administrative support to Maintenance, Security, Drivers and Administrative Services;

• Support purchasing activities: obtain quotes, fill out purchase requests, follow upon the orders and deliveries;

• Help prepare and track small contracts (e.g., services providers, supplies) under the direction of the Coordinator;

• Monitor office, cleaning and operational supplies; prepare re-order lists and maintain basic inventory logs.

• Assist with filing and tracking of invoices, packing slips and related documents.

• Well organized;

• Teamwork skills;

• Autonomous, flexible and discrete;

• Practical, proactive and attentive to detail.

Language:

• Fluent in English;

• Fluency in Cree and/or French is an asset.

Other:

• Valid Driver’s license Class 5

• Comfortable driving CMC Vehicles between sites (including in Winter conditions).

• Flexibility to change workstations from offices depending on replacement needs
