SUMMARY OF THE POSITION
Person who responds to the needs, conceives and applies professional techniques in the field of administrative methods and systems, to improve service delivery.
SPECIFIC FUNCTIONS
Give support to the Director of Program Deployment and the Midwifery Education Program (MEP) management Officer/PPRO. The incumbent ensures Program administrative support, in regards to:
• Support the day-to-day logistical and administrative functioning of the midwifery education program;
• MEP content development:
o Prepare text-based and digital training materials in collaboration with subject experts; including templates and edit for education, evaluation and promotional materials;
o Maintain and improve organization of MEP digital files;
o Prepare timetables for courses and training modules as requested;
o Develop and maintain filing and tracking systems for students’ records, modules, partnerships documentation, etc.;
o Ensure logistics for virtual and in-person MEP activities;
o Create, maintain and update, in collaboration with subject experts, the MEP’s skill and competency databases and directories;
o Create graphics or visual presentations of information, as needed;
o Create and format presentations and materials, as needed.
• MEP staff, mentor and student onboarding, training and support:
o Orient and support MEP staff, mentors and students to MEP policies and procedures;
o Collaborate to students’ orientation activities;
o Participate in program information sessions;
o Support students regarding program and courses information. program logistical and administrative needs.
• Administrative and logistical support:
o Ensure travel arrangements;
o Ensure event coordination and logistics for MEP structured learning activities, community outreach, etc.;
o Prepare budgets and financial reports;
o Carry out requisitions for goods & services, purchase orders, receive quotations and invoices, follow-up on payments, etc.;
o Create and maintain filing systems and procedure;
o Provide technical support to the MEP team regarding Teams, MS Office, etc.;
o Prepare minutes of meetings;
o Provide support for audio and video recording activities and archiving.
REQUIREMENTS
Education:
• Must have a bachelor's degree in administrative sciences, humanities, social sciences or other appropriate academic discipline.
Experience :
• Experience working with Indigenous midwives or Indigenous midwifery organizations a valuable asset.
Knowledge and Abilities:
• Very strong MS Office and information technology skills;
• Excellent problem-solving and written and oral communication skills;
• Awareness of Cree culture and needs, and a demonstration of knowledge of cultural safety principles a valuable asset;
• Excellent organization and event coordination skills;
• Good capacity for interprofessional partnering and collaboration;
• Ease of adaptation and clear capacity for working with a team;
• Strong sense of professional autonomy.
LANGUAGE
• Fluent in English;
• Fluency in Cree and/or French is an asset.
OTHER
• Driver's license and access to a car (asset);
• Willing to travel to all the communities.
