Description
SUMMARY OF THE POSITION
Person whose primary responsibility is to perform a complex set of administrative tasks such as analyzes, reports, complex calculations, and other related tasks.
In addition of performing a variety of complex administrative tasks, she assumes autonomously, within a department, coordination and quality control responsibilities for a set of administrative and office work. She has duties related to the organization of clerical work or a sector of activity such as accounting or purchasing.
She may also perform different tasks falling under the secretarial sector.
SPECIFIC FUNCTIONS
• Performs an entire range of complex administrative tasks;
• Processes Administrative Tasks: Timesheets, Holiday requests, Travel Authorizations, Travel Claims;
• Ensures the reproduction of documents within the required deadlines;
• Communicates with local managers to compile Manager On-Call schedules from communities and enters info into designated Outlook Calendar;
• Organizes and maintains employees’ files;
• Maintains updated Contact Sheet for Regional Miyupimaatisiiun Department;
• Prepares draft replies, memos in collaboration with Admin Team on behalf of the Regional Team;
• Sends documents for management approval and processing;
• Monitors and processes request sent to Regional Administration email;
• Carries out other administrative tasks usually assigned to an Administrative Officer, class 1, upon request of her/his supervisor;
• Preparing for regional meetings such as logistics etc.;
• Performing any other tasks as required in relation to the position.
REQUIREMENTS
Education:
• Must have a high school diploma
Experience:
• Two (2) years of relevant experience
Knowledge and Abilities:
• Good knowledge of routine office work;
• Good knowledge of computerized systems (Word, Excel, Virtuo and Outlook)
• Autonomous, flexible and discrete;
• Sense of accountability, resourcefulness and vigilance;
• Practical, proactive and attentive to detail;
• Excellent communication skills (both written and spoken).
LANGUAGE
• Fluent in English;
• Fluency in Cree or French is an asset.
OTHER
• The person must be willing to travel occasionally to other communities.
