Position Description
Shkaabe Makwa is seeking a full-time permanent Department Secretary to provide administrative support to Shkaabe Makwa. Reporting to the Clinical Manager with a dotted line to Shkaabe Makwa’s Manager of Operations. This position’s primary purpose is to support the Shkaabe Makwa Clinical Team while providing administrative/clerical duties to ensure the smooth and effective operation of the Centre.

Responsibilities of the Department Secretary requires a high degree of patient/client contact in-person, over the telephone, and virtually, include triaging incoming inquiries from clients, families, and community agencies/physicians, booking and rescheduling appointments, reception coverage, registering clients, preparing documents, inter-program correspondence, and supporting patient flow by compiling monthly data. You will be accountable for maintaining accurate records and the organization of clinic schedules. This position will work closely with clinicians, psychiatrists, community service providers, client representatives, clients and families, and will exercise the utmost discretion in maintaining confidentiality. This position will also perform other administrative duties such as the scheduling of meetings, preparation of agendas, taking of meeting minutes, ordering of supplies and other duties as assigned to contribute towards the general functioning of the administrative team within Shkaabe Makwa.

Minimum Requirements

This position requires the incumbent to be First Nations, Inuit or Métis. The successful candidate will possess a one-year Community College diploma in Office Administration or a related discipline, combined with 1-2 years of secretarial/administrative experience, preferably gained working at health services led by an urban Indigenous organization, First Nation or similar. You will have lived experience as a member of a First Nations, Inuit, or Metis community with demonstrated community connections. You will also have knowledge of the diversities amongst First Nations, Inuit, and Métis cultures and histories. You will possess excellent interpersonal and communication (verbal and written) skills and an understanding of the importance of customer service in a busy clinical environment. You will have sound analytical and problem-solving skills, and possess strong administrative skills. You must be proficient with Microsoft Office applications such as Microsoft Outlook, Word, Excel and PowerPoint to support the department’s activities. Experience in a healthcare environment and using Cerner I-CARE (Power Chart and Scheduling) is preferred. You will have the ability and experience in dealing with clients, staff, volunteers and other internal and external agencies from diverse cultural and ethnic backgrounds. You must demonstrate sound judgement, high levels of tact and diplomacy and be able to respond to clients and patients professionally and politely while creating a welcoming and comfortable environment. The id eal candidate will also be creative and flexible with regard to types of tasks and a team player with a high degree of initiative. Must be able to work under pressure and deal with conflicting priorities and deadlines. You can negotiate with external vendors (such as hotels) to get the best possible rates. Bilingualism (French/English) and/or proficiency in an Indigenous language is an asset. Successful completion of a computer proficiency test is also required for this position.
