THE ROLE

The Lookout Newspaper Administrative Assistant plays an important role for Personnel Support Programs (PSP). They are essential in providing administrative support for the planning, organizing and delivering of Lookout community and business priorities for our military members, their families, the extended Defence community along with local partners and advertisers.

We believe that when members of the Canadian Armed Forces are able to take good care of themselves and their families, they can do better both at home and at work. For over 84 years, the Lookout Newspaper has been a trusted communication tool for our military members and their families.

The Administrative Assistant acts as point of contact for internal and external customers. They prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material. They respond to telephone, in person or electronic enquiries or forward to the appropriate person.

QUALIFICATIONS NEEDED

Education, Certifications and Licenses

High School diploma AND several years’ experience in administration or related field

Experience

In office administration

In basic accounting

In preparing sales reports

In drafting and distributing correspondence

In bookkeeping

In applying policies, procedures and regulations

In using software for publications and promotional correspondence

Experience in using reservation systems an asset

Competencies

Client focus, organizational knowledge, communication, innovation, teamwork and leadership.

OTHER INFORMATION

Hours for this position are primarily from 9:00 AM to 5:00 PM, Monday to Thursday. Some flexibility may be required to work later in the day or weekends on rare occasion for events.

This is an on-site position with an assigned work location.
