Description
The Administrative Assistant will support a multi-faceted Indigenous/Anishanabe-led community health program aimed at promoting the prevention, screening, and management of chronic diseases (including cancer, diabetes, and heart failure). This role involves outreach and support of Indigenous Navigation Teams, Preventive Care Teams in the promotion, coordination, scheduling, and implementation of health promotion programs and services within the community. The assistant will work across various locations, including Anishinaabe health centers, community centers, and First Nations communities in Lambton County, supporting teams in health, wellness and prevention programming for both Indigenous and urban Indigenous populations. Promotion of services across the communities and Lambton County, including development of promotional materials, connections with providers and health center staff will be a function of this role. This role will also be a key support role to the Executive Director of E-nangaabe-jig Health Services and provide administrative support to the role.
High School Diploma required.
Post-secondary education in administration is an asset.
Ability to travel to various locations in Lambton County, including First Nations communities.
Valid G driver’s license, insurance, and reliable transportation.
Knowledge of community health services, including chronic disease prevention, is an asset.
Experience working with First Nation communities and an understanding of the unique health needs and cultural considerations of Indigenous people is highly preferred.
Previous experience in an administrative or assistant role, preferably in a healthcare or community health setting preferred (additional training will be provided to the successful candidate).
Knowledge or experience in event planning and coordination is an asset (additional training will be provided to the successful candidate).
Organizational and time management skills are an asset.
Communication with First Nations communities, both verbal and written and with associated health teams.
Ability to work independently and as part of a team.
Comfortable in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) - additional training would be provided to successful candidate as required.
Ability to maintain confidentiality and handle sensitive information.
Cultural competency and sensitivity in working with diverse populations.
Administrative Support:
Schedule appointments, meetings, and events
Manage calendar and provide direct support the Executive Director, E-nangaabe-jig Health Services
Maintain and update community health program calendars, ensuring proper coordination of all events and activities.
Manage E-nangaabe-jig Social Media accounts, website
Create and organize resources (pamphlets, flyers, informational materials) to support chronic disease prevention and screening programs.
Community Engagement:
Assist in the planning and coordination of health promotion events for community members, with a focus on cancer screening, diabetes, heart failure education, mental health and wellness and referrals to other community services.
Coordination of traditional healing services, working to schedule in partnership with the Healers, local communities and Non-Insured Health Benefits (Indigenous Services Canada).
Support for Indigenous Navigators:
Help track and manage referrals to and from community services, ensuring timely follow-ups and proper documentation.
Event Planning and Coordination:
Assist in the promotion, setup, coordination, and breakdown of health-related events at various community and health centers.
General Administrative Tasks:
Answer phone calls, emails, and other inquiries related to health programs, services and events.
Prepare and organize program materials for distribution at events, including health information and promotional materials.
Support Prevention and Navigation teams and E-nangaabe-jig internal teams in any other administrative duties as required.
