Your Opportunity

Our National Office is looking for a Executive Assistant to join the Advisory team in our Toronto, Bay St. Office. The successful candidate must be willing to travel to our Oakville office. The candidate will also own the following responsibilities:

  • Acting as a representative and ambassador for the accountable partners and leaders, facilitating communication and working independently with the firm's leadership team as required
  • Being a proactive, value-added business partner for the Managing Partner in anticipating/proactively managing and helping execute certain activities on behalf of the Managing Partner
  • Supporting and managing certain operational initiatives or business processes across Advisory and promote the culture of the team
  • Proactively organizing, managing and assisting with the execution of key practice sales and business development campaigns, including coordinating marketing initiatives, setting up client sales/ proposal meetings for the team with identified targets and monitoring and tracking progress
  • Organizing and attending team meetings as well as taking meeting minutes and proactively actioning on these items to accomplish business objectives
  • Preparing reports for leadership on project status and keeping leadership informed of project direction, including achievement against project milestones, resourcing, budget, expenditures, revenue etc
  • Undertaking administrative tasks for assigned Partners and Senior Managers, including scheduling & organizing meetings, travel arrangements, proactively managing calendars and in select cases reviewing partner email inbox and helping triage/ answer emails on behalf of the partner
  • Assisting with the preparation of client proposals and presentations using PowerPoint
  • Researching & drafting talking points on an array of topics as required, and ensure that the partner/leader is prepared and in possession of information and materials required for meetings and other scheduled events
  • Conducting in-depth online research related to competitors, industry trends and other market information
  • Plan sub-service line, team and/or client meetings and events
  • Assisting with processing timesheets and expense reports
  • Managing weekly practice operational reports and their distribution
  • Proactively anticipating the needs of the partners and other leaders and ensuring accuracy, coordination and prioritization/optimization of the leader's time
  • Proactively ensure leaders are working on the most important items for the practice, keep the leaders accountable for commitments while helping keep reports accountable for results
  • Help complete priority items for the leadership team with a high level of quality
  • Performing other strategic tasks as assigned
  • You see yourself as an embedded, critical member of the team instead of playing a supportive administrative role

Your experience and education

  • You have 5+ years of relevant experience and the support of senior-level Executives
  • Experience working with another consulting/professional services firm would be an asset
  • Excellent interpersonal and communication skills (both verbal and written)
  • Excellent time management and organizational skills with the ability to prioritize, multi-task and adhere to deadlines
  • Strong proficiency with Microsoft Office, including Excel, PowerPoint, Word and Teams
  • You have the ability to work in a fast-paced, rapidly growing & changing environment
  • You have the ability to prioritize workload and the flexibility to manage multiple tasks
  • You are able to work quickly and take on more responsibilities over time, while shifting for multiple competing priorities
  • You value teamwork, client service and quality in detailed work
  • A team player mentality
  • Ability to react quickly while remaining calm under pressure
  • Experience in virtual leadership and cultivating cross-functional collaboration
  • Ability to work in an agile environment
  • A high level of cultural awareness to build relationships
