Description
Job Title: Marketing Coordinator and Admin Support

What the day will look like
- Maintain a flexible approach and attitude toward assisting others; leads by example, coaches, and mentors
- Acts as a key resource for the team (i.e., independently seeks out answers to questions, takes initiative, leverages network of resources to solve problems, and proactively cascades knowledge to peer network)
- Manage and maintain executive schedules, calendars in Microsoft Outlook
- Coordinate business travel arrangements for domestic and international travel
- Prepare, submit, and manage expense reports for the Management Team
- Ensure security, integrity, and confidentiality of data
- Manage and source third party relationships including vendors and service providers
- Approval management support – including Coupa, Workday and Concur Travel
- Manage payments of Vendor invoices and monthly referral fees
- Assist in the onboarding and offboarding of colleagues
- Coordinates meeting logistics on or off‑site; may include, but not limited to, budgeting, travel, room reservations, meeting room logistics and materials, and catering
- Create and maintain Distribution Groups
- Participate actively in the planning and execution of company events
- Provide general support to visitors
- Maintain a safe and secure working environment
- Develops and maintains a sound knowledge of internal network and resources
- Ensure all communication and offerings conform to brand identity
- Build and Manage relationships with internal/external marketing professionals
- Collaborate with business leaders to understand and support market specific initiatives
- Proficiency in the preparation of presentations and other materials in PowerPoint, Word, Excel and Adobe Photoshop
- Preparation of sales sheets and newsletters
- Prepare and deliver reports on the status of all marketing programs and initiatives to senior management.
- Communicate and promote marketing and sales initiatives to all staff.

Skills and experience that will lead to success
Required Experience:
- Minimum 2 years experience in both secretarial/administrative support and marketing role
- Proficient in MS Office Suite and Adobe Photoshop
- Excellent customer service skills and exceptional attention to detail
- Excellent and professional communication skills, both written and verbal
- Work independently with a variety of individuals and teams
- Is highly organized, with strong multi-tasking, organizational, and management skills
- Demonstrates discretion on highly confidential matters
Education:
- High School Diploma or equivalent, Bachelor degree a plus
