Reporting to the Director of Project Management, the Project Support Administrator is responsible and accountable for managing and facilitating the financial and contract management processes for the planning and construction projects. This position tracks, monitors, verifies and documents all financial aspects for the multiple projects within Health Shared Services, Capital Management. The Project Support Administrator is responsible for assisting the Project Management Team with the procurement, contractual documentation, financial transactions and ensuring adherence to Health Shared Services Policies and Procedures. The Project Support Administrator will also provide coverage for the Project Management Administrative Assistant. The coverage will be for this list of tasks: Schedule Meetings, Manage the calendar, respond to inquires, issue notifications, maintain contact lists, manage documentation, etc. for the Director, the Executive Director and Program Manager’s and other Project Team members, as requested. Develop and maintain strong working relationships with other HSS support staff and external resources. Develop relationships and understand process’s with our partner’s such as H.R.,BAS, IT, Cap Ops, etc. Develop administrative standards and procedures in accordance with HSS requirements. Researching and preparing background material for meetings. Responding directly to daily administrative inquires. May also include drafting correspondents, reports and presentations. Supervising the team's fleet vehicles and ensure they are well maintained, performing reconciliations and reporting odometer readings. Provide sporadic assistance to the Executive Director and his team. Time entry and keeping.

As a Coordinator I, you will require specialized skills and knowledge to support complex projects, procedures, practices or initiatives within a department, program or business unit.

Completion of post-secondary degree or diploma in a related field or equivalent.

Financial degree or diploma is required. Training on financial systems, preferably in Oracle based software is an asset. Proficiency in MS Office Suite. 5 years related experience. Knowledge of the construction industry and construction procurement, Project Management scheduling, theories, principles, practices and processes; as well as accounting and financial reporting systems and process knowledge would be an asset. Knowledge of Health Shared Services internal policies and processes and an understanding of construction practices and processes would be an asset. Well-developed interpersonal (influence, persuasion, negotiation, leadership and communication) skills are required for this position.

Experience in eFacilities would be an asset.
