Description
The Provincial Infection Prevention and Control (IPC) Program is seeking an enthusiastic, independent, and attentive individual with exceptional communication skills to provide senior administrative support to the program. Reporting to the Senior Provincial Director - IPC, the Administrative Assistant position provides support to both the Senior Provincial Director and the Senior Medical Director. This position works closely with the IPC Senior Leader team and their associated administrative staff, as well as, the IPC Physicians, IPC designated Medical Officers of Health within each zone, various AHS Vice President Offices, other AHS Senior Operational Leaders, various Ministries within Alberta Health and the newly formed Health Organizations. The incumbent acts as a liaison between key stakeholders and the Provincial IPC office and as such must provide a high standard of interpersonal communication with the ability to demonstrate confidentiality, flexibility, and initiative.
The position is responsible for providing comprehensive administrative support to the portfolio, including but not limited to meeting management/ logistics, monitoring and completion of tasks associated with provincial initiatives to ensure efficient and timely management of the office. The position is also responsible for SPD and SMD scheduling/ calendar management, various finance and human resource tasks such as payroll. To be effective, it is critical that the incumbent exercise critical thinking, problem solving, formal and informal leadership skills. The incumbent will be expected to independently self-direct work to meet expectations and objectives, while demonstrating the ability to problem solve. The position requires a full understanding of the portfolio and frequently represents the portfolio as the first point of contact.
Administrative Assistant certificate and/or diploma or its equivalency. 5 years or more experience in supporting senior leadership - advanced, diversified, and comprehensive administrative expertise. Exceptional planning and organizational skills. High degree of initiative, confidence, and self-direction. Strong team player with a willingness to assist in various tasks. Demonstrated ability to manage time and resources to accomplish goals. Excellent interpersonal skills. Ability to handle frequent interruptions and changes in priorities. Effective problem-solving skills with a strong attention to detail. Ability to handle sensitive and confidential material with the utmost professionalism. Strong technical capabilities, including advanced working knowledge of MS Office Suite, MS Teams and SharePoint.

The successful applicant will be able to work in a fast paced/high demand environment with the flexibility to easily shift tasks as required. Considerable working knowledge of AHS systems, procedures and policies pertaining to information management and human resources. Attention to detail and thoroughness with assigned tasks is essential. Previous exposure to and experience working within a hybrid team structure is an asset.
