The Department of Surgery is seeking an organized, proactive, and adaptable Administrative Support V for a full-time position that is intentionally divided into two equal roles. This position provides 0.5 FTE administrative support to the ENT Section Chief and 0.5 FTE administrative support to the ENT Residency Program. Key Responsibilities: ENT Section Chief and Section Support (0.5): Provide administrative support to the ENT Section Chief, including meeting coordination, agenda preparation, minute-taking, correspondence, and follow-up. Support section-level operations, including site and staff concerns (IT, facilities, access, permissions) and coordination of visiting faculty and site visits. Assist with recruitment and onboarding activities as required. Manage section-level expenses, stipends, education dues, and reconciliation of section accounts. Maintain section contact lists, points-of-contact documents, and other living resources. Support research-related administrative activities and coordination of project-related funds. Stay current on section-level initiatives, communications, and operational changes impacting ENT services. ENT Residency Program Support (0.5): Provide supplemental administrative support to the ENT Residency Program in collaboration with the Residency Program Administrator. Assist with learner scheduling, residency communications, and coordination of meetings and educational activities. Support administrative processes related to evaluations, exams, stipends, reimbursements, and onboarding. Assist with CaRMS activities, residency events, and program documentation as required.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Degree in healthcare administration, business administration, or a related field. Minimum 5 years of experience in project coordination, project management, or senior-level administrative roles with demonstrated project responsibility. Experience working in a university or academic medical environment. Demonstrated ability to manage complex, multi-stakeholder administrative processes with accuracy and discretion. Strong critical thinking, problem-solving, and decision-making skills. Excellent verbal and written communication skills. shortlisted candidates will be asked to provide a sample of professional or business writing as part of the selection process. Advanced organizational and time-management skills, with the ability to independently prioritize competing demands. Demonstrated ability to balance a dual role and adapt to shifting priorities while maintaining accountability and follow-through. Ability to handle sensitive and confidential information with professionalism and discretion.
