The Administrative Support V is a position with advanced and specialized expertise supporting the Arthur Child Outpatient Oncology Department. With direction from the Management team, this position is responsible for the overall administrative portfolio support and integrated leadership role supporting clinic administrative staff; administrative II and IV classifications in workflow optimization and prioritization of clinic process. The incumbent will be accountable to the Management team for portfolio administrative tasks and must have understanding of outpatient/ambulatory programs. The incumbent uses discretion and adheres to strict confidentiality and accuracy of tasks. The incumbent must exercise judgment, discretion and independent decision making across a spectrum of activities. This position demands excellent communication skills both written and verbal. The incumbent works autonomously and requires extensive knowledge of the areas of responsibility due to the impact on staff performance on safe patient care. The on-site work environment is one of constant interruptions, short timelines and constantly changing priorities which demand flexibility and organization to meet the workload demands. The incumbent is expected to promote and foster positive team interactions to support patient care and the department.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Minimum 3 years administrative experience in an Ambulatory setting required. At least, minimum 1 year experience as an Administrative Support V. Proficiency in Microsoft Office Suite. AHS Financial and Human Resource Management Systems (eg. i-Expense, Oracle, i-procurement, e-facilities, e-People, RMS, Markview, union contracts and payroll). Advanced organizational, prioritization and communication skills, including written, telephone skills. Demonstrated leadership, independence, problem solving, critical thinking and conflict management skills. Comprehensive knowledge of Connect Care. Workflow preparation, coordination and project leadership experience. In collaboration with the leadership team, create data driven reports with minimal supervision that inform target achievements. Experience with calendar organization, meeting and minute preparation. Experience in coaching and mentoring administrative staff. Ability to work independently and make decisions with minimal direct supervision. Able to work under pressure to manage competing and changing priorities while meeting deadlines. Exercises professionalism, judgement, and discretion when dealing with highly sensitive and confidential information. Ability to work collaboratively with junior and senior team members within the hospital, clinical portfolios and with provincial partners. Experience with WFM scheduling program.

Communication and conflict resolution courses. Experience in planning department events with coordination of logistics.
