Description
The Administrative Support V provides high-level administrative and operational support to the Pediatric Medicine Leadership team at the Stollery Children’s Hospital. Working with minimal supervision, this role ensures the effective coordination of clinical, academic, and administrative activities within the pediatric medicine inpatient portfolio. The successful candidate will manage complex calendars, organize meetings, record and distribute minutes, and prepare professional correspondence, reports, and presentation materials. They will perform general office duties, including supply coordination and equipment maintenance, and oversee financial processes such as validating and processing invoices through Markview, managing expense claims, and monitoring budget activity. This position is also responsible for staffing and payroll entry and validation in WFM, as well as managing recruitment activities. This includes posting and creating positions in the Recruitment Management System (RMS), organizing interviews, and maintaining documentation in collaboration with Human Resources and Finance. The Administrative Support V works closely with interdisciplinary teams and other administrative staff to ensure seamless daily operations across the Stollery and provides leadership, guidance, and coverage within the administrative team. Additional responsibilities include supporting events and conference planning, maintaining administrative systems related to finance, procurement, and recruitment, and preparing reports for internal and external use. The ideal candidate demonstrates professionalism, strong organizational and communication skills, and sound judgment. They are proactive, adaptable, and able to anticipate the needs of the leadership team while managing multiple priorities in a fast-paced and dynamic environment.
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
Advanced working knowledge of Microsoft Office suite (Outlook, Word, Excel, Visio, PowerPoint, Teams etc). Minimum typing speed of 60 words per minute with excellent accuracy. 3-5 years' experience in an intermediate or higher administrative support capacity required. Excellent proofreading, formatting and grammar skills. Proven ability to produce high quality work, excellent organizational and time management skills. Proven ability to recognize and handle confidential information in a professional manner. Proven ability to work independently with frequent interruptions and multi-task under pressure
Experience working in a high-volume, time-sensitive environment. Excellent critical thinking skills. Ability to recommend and implement changes to procedures or work practices. Working knowledge of RMS, ePeople, Markview, WFM, and SharePoint is an asset
