Description
Reporting to the Care Manager for the Adult Community Rehabilitation portfolio, this position is frontline, providing administrative support for the Calgary Voice Program and RRDTC ENT Clinic. The Calgary Voice Program provides tertiary-level interdisciplinary assessment and management of adults across southern Alberta with a range of complex laryngeal disorders. The ENT Clinic specializes in diagnosis and treating conditions affecting the ear, nose, sinuses, larynx, mouth, throat, head, and neck. The successful candidate will be responsible for various office duties, including patient check-in and scheduling follow-up appointments, referral intake, and waitlist management in Connect Care, providing admin support to the clinic and staff, and interacting appropriately with internal/external contacts. The incumbent must demonstrate the ability to multi-task and work under pressure, as daily work activities can change depending on the priority of the clinic. This position requires high attention to detail and exceptional accuracy. The successful candidate will require excellent communication skills and the ability to collaborate effectively with others in a team environment. The position involves occasional moving and lifting of equipment over 10 lbs. There may be walking required to accompany patients into the clinic area, prolonged sitting, and telephone use. This position will provide support to the AS IV and the AS III with the Voice program and the ENT Clinic at the RRDTC.
As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Completion of post-secondary education (e.g., course(s) in business administration, medical office assistant) or other related fields. Proficiency in verbal and written English. Experience with Connect Care (Schegistrar role preferable). Strong communication skills with a courteous and pleasant front desk reception/telephone manner. Excellent organizational skills, ability to prioritize workload, and work under pressure with minimal supervision in a complex, busy environment. Strong problem-solving skills and ability to deal with difficult issues in a sensitive and confidential manner. Recent experience as an AS III (or above) in a multidisciplinary health-related clinical setting.
Experience working within a medical/surgical outpatient clinic. Experience performing intake and referral management processes within Connect Care. Preference is for someone in a dedicated casual position.
