Job Description

Reporting directly to the Department Head, the Administrative Associate will provide clerical and administrative support to the cannabis sales team. This role will be responsible for maintaining the CRM database and acting as a liaison between the Sales Team and various departments to ensure smooth integration of new clients/projects into laboratory operations.

Principle Duties & Responsibilities:

  • Organize, prioritize, and deliver accurate quotations requested by clients.
  • Collaborate with managers, lab personnel, and clients to determine testing requirements and generate cost-effective recommendations for quotations.
  • Assist in planning and organizing client requests.
  • Respond to client inquiries by providing information about quoted testing/projects.
  • Follow up on open and outstanding quotations to determine their status.
  • Maintain client records, timelines, and interactions related to testing/projects quoted (e.g., issued, pending, and approved quotes).
  • Improve the quotation process and measure its effectiveness by utilizing technological capabilities such as CRM, CLO, CLQ, and eLIMS to enhance sales and marketing processes.
  • Perform any other clerical or administrative tasks assigned by the Supervisor or Management Staff.
  • Assist the BD and laboratory team in reviewing scientific methods before preparing quotations.
  • Ensure ongoing communication with clients and BPT Lab personnel to ensure awarded projects are ready to start and executed on time.
  • Coordinate the schedule of awarded projects with the chemistry and microbiology laboratory teams.
  • Update pricing schedules for specific client discounts regularly.
  • Other duties as assigned.


Qualifications

  • A degree in Chemistry or a diploma in a related scientific discipline (B.Sc.).
  • At least two years of experience in a cannabis testing laboratory (preferable).
  • Detail-oriented with a strong focus on accuracy in work.
  • Excellent written and verbal communication skills in English.
  • Strong computer skills and organizational abilities.
  • Self-starter and resourceful individual.
  • Familiarity with computer programs such as Word and Excel.
  • Willingness to work overtime during weekdays or weekends as requested by the Supervisor or Management staff.
  • Willingness to perform other related duties as assigned.

EDUCATION

  • A B.Sc. degree preferably in Chemistry, or diploma in related field;
  • A solid background and understanding of Chemistry is mandatory;

WORKING CONDITIONS: This position will be working in an office environment within the laboratory environment. Moderate level of activity and some light lifting requirements to fulfill any required administrative duties such as filing and photocopying.
Shift work and overtime may be required, as well as working periodic weekends and/or evenings.
