The impact you will have:

As a Software Asset Data Coordinator, you will be responsible for overseeing the collection, validation, and management of Installation Base Reports (IBRs) from customers and vendors. This role is essential in ensuring accurate and complete data is gathered, approved, and properly integrated into Softchoice’s software asset management system in the SAM+ hub. You will work cross-functionally with internal teams, external vendors, and customers to maintain data integrity and streamline the reporting process.

This role is hybrid with the expectation of working in the Toronto office 2-3 times per month.


What you’ll do:

  • Own the end-to-end process of gathering Installation Base Reports (IBRs) from customers and vendors.
  • Ensure all collected data is complete, accurate, and compliant with company standards.
  • Track incoming reports, maintaining clear records and logs to monitor their status and progress.
  • Work closely with customers to obtain necessary approvals for the collected IBRs.
  • Collaborate with multiple vendors to collect required data, resolving discrepancies and ensuring consistency.
  • Serve as the main point of contact for any issues or clarifications related to IBRs.
  • Verify the collected data for accuracy, consistency, and completeness before processing.
  • Maintain and update the organization's software asset management tool with validated data, ensuring readiness for insights and reporting.
  • Identify areas for improvement in data collection, validation, and management processes.
  • Develop and maintain comprehensive documentation of methodologies, standard procedures, and findings to ensure process consistency and efficiency.

What you’ll bring to the table:

  • 1+ years of experience in a corporate business environment required.
  • Experience in IT asset management, data collection, vendor coordination, or a related field is a nice to have.
  • Experience working with software asset management (SAM) tools and IT inventory systems is a nice to have.
  • Strong attention to detail with excellent data validation and analytical skills.
  • Ability to communicate effectively with customers, vendors, and internal stakeholders.
  • Proficiency in using Excel for tracking and verifying information, including data analysis.
  • Ability to troubleshoot discrepancies in collected data and resolve issues proactively.
  • Experience working in an enterprise IT environment with multiple vendors is a plus.
