The opportunity

As a member of the Data Sourcing &Vendor Management team in the Data, Analytics and AI group, the Senior Associate provides administrative support for management of (global) business partners data spend. This person is responsible for; end-to-end workflow for data and related invoices, support of internal business partners data access requests for existing services and inventory content management in the market data inventory tool and supports internal financial processes. The role supports the firm globally, across all business units who consume data.

Who you'll work with

The Senior Associate, Data Sourcing & Vendor Management will report to the Senior Manager, Data Sourcing & Vendor Management.

What you'll do

Supports the active expense management of market data products and services, managing the end-to-end invoice reconciliation including:

  • Maintains process documentation for workflows relating to invoices and market data inventory tool pricing update processes.

  • Invoice management across all data vendors managed by the DS&VM team. Administers and maintains the email inbox which receives invoices directly from vendors.

  • Oversees and actions the inflow of data invoices, conducts detailed reconciliations against current inventory for validation ensuring costs are correct, process invoices into inventory tool, ensuring allocations are accurately reflected across global cost centers, uploads them for approval and payment with A/P.

  • Monitor status and partners to ensure invoices are processed and paid promptly

  • Responds to any inquiries on invoices submitted

  • Manages any required changes/corrections needed on invoices

  • Ensures invoices are successfully transferred to A/P’s for payment (either manually or automated)

  • Monitors for and identifies missing invoices, requesting missing invoices from the vendors as needed.

  • Escalates invoice issues as needed.

  • Process vendor invoices verified against contractual obligations to verify accurate billing and allocations within inventory tool, including complex invoice allocations.

  • Works directly with data vendors on billing queries to resolve invoice variations and update inventory system accordingly.

  • Provides updates to data vendors on invoice payment status.

  • Ensures required vendor and product details are current and up to date for managed services, including user lists, banking details, pricing changes, to support accurate and timely invoice processing and payment. Communicate and/or escalate with the DS&VM team as required.

  • Partners with other internal teams such as Accounts Payable to ensure accurate and timely invoice processing.

  • Supports critical user administrative processes in support of accurate invoice allocations.

  • Creates and shares quarterly invoice status reporting with DS&VM to manage outstanding invoices.

Market Data Inventory Management/Content Administration:

  • Collaborates with other members of the DS&VM team to assist with data vendor management updates to existing services and adding of new services and contracts within inventory management tool.

  • Assist with internal business partners access requests for existing services, validating, and actioning where possible/inventory allows, escalating as needed.

  • Supports management of inventory content including product/service pricing updates, FX rates, user changes and ensure service prices are current.

  • Supports management of internal OTPP content in inventory management tool including users and user details, logical structure, team name changes.

  • Supports and/or leads regular upgrades of inventory management tool, including testing needs.

Supports DS&VM team with quarterly and annual financial processes/requirements:

  • Manages tracking of DnA’s (identified) OpEx expenses to support better forecasting and budgeting.

  • Assist with quarterly forecasting of data spend where possible.

  • Supports population of actuals for a subset of inventory.

  • Assists with year-end accrual process.

What you'll need

  • University degree or equivalent experience.

  • Strong knowledge and experience of (data) invoice management.

  • Experience with inventory management tool (MDM) an asset.

  • Ability to prioritize, coordinate and complete tasks to meet deadlines.

  • Good working knowledge of Microsoft Office Suite, Adobe, electronic databases.

  • Ability to work in a fast paced, rapidly changing environment, set priorities and meet deadlines.

  • Excellent interpersonal and English language communication skills.

  • Ability to build and maintain strong working relationships with other teams and partners.

  • Willingness to keep abreast of changing technologies and to assume new responsibilities required by the introduction of new services and equipment.
