Overview

Manage the daily operations of the conference floor and practice floor meeting rooms.

 

This position is deemed to be an essential service and is required to be performed in office. 


What you will do

  • Ensures the quality levels of food & beverage items and maintain standards in services, facilities, and client satisfaction
  • Communicates all changes with AV technicians and adjusts according to meeting requirements
  • Meets with Admins/event planners to review event details, food orders, event agenda, decoration details, rentals, staffing, and anything else that might be needed to ensure a successful meeting or event
  • Responsible for overseeing the full cycle & successful execution of meetings and events (bookings, elevator bookings, food and beverage, facilities, audio visual, staffing, rentals, decorations etc.)
  • Resolves conflicts with meetings room space on the conference floor
  • Obtains quotes from vendors and codes and approves invoices
  • Monitors timing for food to be placed in meeting rooms and, if possible, being in the conference floor servery when food arrives
  • Responsible for the maintenance of the conference floor
  • Establish best practices & protocols for safe working environments
  • Ensuring the meeting room booking system is seamlessly integrated with the corresponding meeting and event venues
  • Collaborate with Toronto North Office (TNO) Conference Floor Coordinator on reporting on operations & KPI’s
  • Maintain effective relationships with new and existing vendors (including negotiating and obtaining quotes, RFP’s etc.)
  • Monitor and review requests for multiple email boxes and catering/meeting room dashboards
  • Reconcile venue charges (invoicing & credit card payments)

Supervisor and performance manager: 

  • Performance manager for all assigned staff
  • Supervises and provides training/onboarding and coaching for all host/hostess staff
  • Shares in the responsibility of supervising the reception staff on the conference floor
  • Reviews the monthly schedule for hosts/hostesses and main receptionists, making changes as necessary
  • Facilitates monthly meetings with host/hostess staff and main receptionists

What you bring to the role

  • Degree in Food Service Management (added benefit)
  • Minimum 5 years’ working experience with at least 2 years of Food and Beverage experience
  • Experience in performance management and interpersonal skills
  • Possess high standards and professionalism
  • Experience in developing teams and individuals
  • Excellent leadership and organizational skills
  • Experience in quality driven projects
  • Must possess a high level of customer service orientation
  • Must be able to manage multiple projects and timelines while working independently and as part of a fast-paced team

  • Excellent communication skills whether verbal, written or non-verbal
  • Experience in developing Food and Beverage plans
  • Experience in Food and Beverage budget preparation
  • Approachable, open minded and fair
  • Flexible and with high energy level
  • Must be able to work independently

  • Lead teams to accomplish organizational goals
  • Must be able to allocate resources and trust others to take authority and responsibility
  • Must be able to handle various situations with sensitivity

  • Strong background in Food and Beverage cost control and technical knowledge
  • Good analytical skills
  • Ability to handle pressure in a fast-paced environmentEvenings and weekends may be required during peak times.
