HIS Implementation

Sunnybrook Health Sciences Centre is a nationally-leading and internationally-recognized academic health care centre based at several sites in the Greater Toronto Area (GTA). Our team delivers expert, compassionate care to patients from across Ontario; wide ranging and sometimes unique education to thousands of learners each year; and research and implementation of innovations that invent the future of health care. Since our first patient in 1946, Sunnybrook has evolved and expanded to become a network of integrated sites and campuses representing the full continuum of care including pre-hospital, acute, and post-acute and key specialty services for Ontario. Sunnybrook is embarking on a multi-year digital, clinical transformation project to implement a new health information system (HIS) across all campuses and satellite sites, through Project REACH. The project is a pillar of enabling exemplary patient experience and quality of care and therefore this is not solely an information technology initiative, but one founded in clinical transformation and care redesign. Led by the Clinical Informatics Team, Project REACH will strive to enhance patient care, streamline clinical workflows and support our clinicians.

 

About the Opportunity

With a vision for supporting an efficient patient experience and a consistent approach to clinical best practices, Sunnybrook is preparing to implement a Health Information System (HIS) and is looking for exceptional individuals to support the successful implementation of the HIS. Reporting to the Training Manager, the Principle Trainer serves as a key administrative, change management and project support resource within our training team, focusing on the management of user access within Sunnybrook Health Systems and supporting the development of clinical training plans, scripts and learning materials. This position requires close collaboration with the Vendor, Workflow Leads, and Project Leads to ensure training content and materials is aligned with clinical priorities, business processes and project goals. While the role is less focused on direct classroom delivery, it is critical in enabling a seamless end-user training experience, and may consist of 25% facilitation of classroom based and virtual training sessions if required.

 

KEY RESPONSIBILITIES:

  • Manage the user access set-up process in the HIS, ensuring compliance with security protocols and project timelines.
  • Liaise closely with Vendor, Workflow Leads and Project Leads to gather requirements and ensure alignment of training scripts and instructional materials with clinical operational workflows.
  • Manage the creation, review, and maintenance of training scripts, job aids, and other supporting documentation, incorporating process changes and best practices.
  • Oversee the development and organization of training plans and schedules, ensuring necessary system access and resources are available for designated participants.
  • Act as a subject matter expert on new HIS access protocols, troubleshooting user account issues or access-related concerns as needed.
  • Maintain accurate records and reports of user access requests, approvals, and provisioning activities for audit and compliance purposes.
  • Oversees the ongoing evaluation of training effectiveness for all end users by gathering feedback from training participants and workflow leads, and provide recommendations for improvement. Sunnybrook Health Sciences Centre
  • Provide informal leadership and expert guidance/support to system trainers and end users regarding system navigation and access-related questions.
  • Collaborate with Vendor in the development of customized and role-based training content independently or with crossfunctional teams, using a variety of software programs, tools, and applications.
  • Manage the development and maintenance of instructional learning and training materials, as well as go-live and conversion procedure documentation.
  • Facilitate training to users of various skill levels; remote and on-site, across multiple user groups and locations, as required.
  • Assess and identify knowledge gaps and resistance to training and develop targeted interventions to address adoption challenges.
  • Participate in systems testing, including system integration testing (SIT), user acceptance testing (UAT), and technical dress rehearsals.
  • Support go-live activities including at-the-elbow support, command center operations, and rapid response to training needs.
  • Participate in regular team meetings, contributing to shared training logs, milestone tracking, training evaluations, and status updates.

QUALIFICATIONS AND EXPERIENCE:

  • Post-secondary education in Healthcare, Training, Education, Computer Science, Information Technology, or related field.
  • Minimum 3-5 years of experience in healthcare training, with at least 3 years focused on health information systems or electronic health/patient records.
  • Demonstrated experience administering user access/security within Sunnybrook Health Sciences Centre or similar enterprise.
  • Excellent interpersonal and communication skills, with the ability to collaborate effectively with cross-functional teams.
  • Strong computer skills and the ability to quickly learn new software applications.
  • Experience with training needs analysis, adult education principles, and instructional design methodologies for developing instructional learning materials and training scripts.
  • Demonstrated proficiency working with Microsoft Enterprise applications (i.e., Visio, Word, Excel, PowerPoint, Outlook, SharePoint)

 

WORKING CONDITIONS:

  • Position may require travel to multiple sites during go-live and implementation phases
  • Flexible schedule including occasional evening and weekends during go-live periods
  • Hybrid work model with a potential of increase in on-site presence during critical go-live and implementation milestones
