The Sunnybrook Department of Medicine Association is seeking a full-time Medical Administrative Assistant to cover a 12-month maternity leave position in the Geriatric Medicine Division. We are a large medical practice of over 150 doctors and 95+ medical administrative staff and we are seeking an exceptional individual to join our team to provide administrative support to physicians, their practices and clinics.   Experience in the EMR system OSCAR is mandatory.   POSITION SUMMARY: The position provides administrative support to physicians, their practices and clinic.  The Medical Administrative Assistant will be responsible for the clinical and administrative services associated with the operation of the geriatric medicine clinic with multiple physicians who serve older adults with frailty and complex needs.  The Medical Administrative Assistant works closely with two other clinic administrative staff.   RESPONSIBILITIES: Responsibilities include; but are not limited to: Answering the phone and returning voicemails Responding to patient and physician emails Coordinating appointments with other departments and clinics Uploading documents and medical notes on EMR systems Electronic filing and chart organization Managing all patient bookings; appointment confirmation/reminder with patient/family, managing cancellation list Managing inquiries and scheduling appropriate tests; and running in-person clinics, preparing charts, assisting patients with transportation when needed (taxis, wheel-trans, wheelchair volunteers) Coordinating follow-up appointments for patients as requested by internal consultation team Coordination of OHIP billing Supporting physicians in their academic and research roles as needed Managing and maintaining physician schedule as requested   ROLE REQUIREMENTS: College Diploma in a related discipline, or recognized equivalent, or a combination of education and experience is required. Demonstrated advanced working knowledge of Microsoft Word, Excel and Outlook. Minimum of 3 years’ experience in medical administrative assistant role. Hospital experience is preferred Proven knowledge of medical terminology Ability to use OSCAR EMR is required Demonstrated ability to take initiative and act independently using sound judgment as well as accepting direction Demonstrated excellent written and oral communication skills and good team player skills Excellent time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency Ability to work independently and balance multiple work demands, including time sensitive requests Excellent interpersonal skills and ability to relate to and work well with a diverse group of individuals, including older adults with communication or cognitive issues Tact and discretion in dealing with sensitive and confidential issues Ability to maintain strict confidentiality Demonstrated experience working in a high-volume, fast-paced clinic serving with older adults with complex needs and their families   TO APPLY: If you are looking for an exciting opportunity to work in an innovative and dynamic organization, please submit your resume by clicking on the “Apply Now” button below.   We thank all applicants in advance; however only those selected for an interview will be contacted.
