The Opportunity:

Working closely with the Assistant Corporate Secretary and the Chief Counsel, Public Company this role will provide day-to-day support to the Board Governance Team.

We’re looking for a resourceful, organized person with a focus on attention to detail. The ideal candidate will be a team player with experience working with boards of directors or senior executives in a large organization as an executive assistant or other similar administrative role.

Position Responsibilities:

  • Supports the Assistant Corporate Secretary in organizing board and committee meeting logistics, including planning, preparation, and implementation of all elements of meetings, both in-person and virtual (e.g., distribution of meeting materials managing calendar invitations, booking of rooms, developing seating plans and monitoring attendance, etc.)
  • Works closely with the Senior Board Governance Administrator:
    • Maintaining the board and committee meeting checklist and other department processes, ensuring all deadlines are met and considering process improvements where possible.
    • All board travel arrangements including air, ground transportation and hotels.
    • Supporting directors with administrative matters during on-site meetings.
    • Managing department invoices, billing and payment.
  • Responsible for calendar management for the Office of the Corporate Secretary.
  • General and administrative support including routine photocopying, filing, mail sorting, preparation of regular correspondence, memos, etc.
  • Assist with the preparation and maintenance of benchmarking and tracking materials.
  • Responsible for the preparation of skeleton board and committee minutes.
  • Responsible for building board and committee books on Diligent Boardbooks.
  • Challenges: Fast-paced and deadline driven environment with high expectations for quality and accuracy of work
  • Scope & Organizational Impact: Significant organizational impact due to the high-profile nature of the work, exposure to board members and senior executives, and the regulatory and reputational risks associated with the board governance program.

Required Qualifications:

  • Minimum of 5-years’ administrative experience in a large public company or similar organization.
  • Strong interpersonal skills with a high comfort level in dealing with individuals at all levels.
  • Highly motivated, organized, detail-oriented and can effectively prioritize and manage competing matters.
  • Ability to exercise discretion and professionalism with highly sensitive information.
  • Ability to work flexible hours during weeks in which board and committee meetings are held.
  • Advanced skills in Microsoft Office, Adobe, Excel, and SharePoint.
  • Initiative to drive change to streamline and improve processes.
  • Experience in web-based applications such as Diligent and Workshare will be considered an asset.

Salary range is expected to be between

$53,775.00 CAD - $89,625.00 CAD
