Position Summary:
The OR Materials Coordinator is responsible for planning and directing complex supply, instrument, and equipment acquisitions in support of surgical services. This includes the management and recording of implants, loaner equipment and repairs to ensure that the physicians and clinical staff have the tools and equipment necessary to provide safe surgical care at all times. The Materials Coordinator works in collaboration with OR leadership and serves as an integral member and resource to the Operating Room Product Evaluation Committee. Additional duties include proactive involvement in the planning and preparation of operating and capital budgets, related contract negotiations as needed, and acquisition of supplies/instruments/equipment to improve efficiencies and to continue to enhance the practice of providing exceptional patient care.
Primary Responsibilities:
- Coordinates the procurement of direct order medical supplies, instruments, and implants in the surgical services areas and liaises with external partners including MMC and vendors to monitor supply usage
- Oversees direct order stock inventory levels daily
- Responsible for the urgent sourcing of substitute products and supplies for weekly backorders
- Accountable for arranging loaner equipment, products, and supplies in collaboration with resource nurses and surgeons
- Ensure urgent surgical device corrections and equipment recalls are acted upon in a timely manner for the safety of patients, visitors, and staff.
- Responsible for product returns to vendors in collaboration with MMC
- Liaises with vendors, MMC, and procurement team to obtain quotes for capital, instruments, and supplies
- Works collaboratively to support surgical services leadership in vendor related issues including such things as special orders, contract compliance, contract management etc.
- Supports surgical services to identify opportunities to improve cost effectiveness while maintaining best practice
- Maintains databases and records related to the acquisition of supplies.
- Participates in decisions such as changes, additions, and deletions to supply and service contracts
- Assists with reviewing vendor contracts up for renewal and evaluation of new contracts
- Assists the managers with the preparation of explanations and justifications of budget variances- when requested
- Identifies cost account inconsistencies and works with MMC Data integrity to resolve.
- Where required, supports the coordination of in-services and education related to new equipment.
Education/Certifications/Licenses:
- Successful completion of Supply Chain Management certificate or equivalent.
- Bachelor’s degree in Business Administration or an equivalent combination of surgical education and experience.
- Certified Medical Device Reprocessing Technician (CMDRT) Personnel Certification is preferred
- Computer literacy in a Windows environment utilizing Word, Excel, PowerPoint and Outlook as well as a good understanding of procurement and instrument tracking software.
- Ability to create, maintain and evaluate data management reports that support the effective management of surgical supplies and equipment.
Experience/Skills/Abilities:
- 1 - 3 years of recent experience in supply chain management, acquisitions, and procurement of surgical instruments
- Previous surgical supply chain experience with demonstrated ability to promote effective working relationships (surgeons, vendors, and staff).
- Demonstrated knowledge of Healthcare Purchasing and Inventory Management systems including purchasing and receiving management systems.
- Experience conducting contract reviews and renewals
- Proven experience in Process Improvement.
- Familiarity with operating room equipment and supplies
- Familiarity with surgical instrument market, including key vendors, market conditions, and other key stakeholders
- Familiarity with the financial impact of OR materials procurement.
- Experience in an operating room environment.
- Proven attendance record.
