Our client, a large national law firm, is seeking an Intake & Conflicts Coordinator to join their national Matter Life Cycle team. This is a strong opportunity for someone with prior law firm intake/conflicts experience who enjoys working in a fast-paced, collaborative, and process-driven environment. The team supports lawyers and internal stakeholders across multiple offices with conflict searches, new business intake, confidentiality screens, compliance processes, and ongoing matter maintenance. They are looking for someone who is detail-oriented, organized, and comfortable managing a high volume of requests in a time-sensitive environment.

Position Overview

This role will support the firm’s national Intake & Conflicts function and play a key role in ensuring new clients and matters are processed accurately and in compliance with firm protocols.
The successful candidate will work closely with lawyers and internal teams across Canada while managing conflict searches, intake requests, file maintenance, and compliance-related processes.

Responsibilities
Intake & Conflicts

  • Conduct and analyze conflict searches
  • Review new client and matter intake requests
  • Set up and maintain confidentiality screens
  • Support KYC and due diligence processes
  • Complete ongoing matter maintenance and file updates
  • Monitor intake inboxes and respond to internal requests
  • Support lateral hire conflict onboarding processes
  • Participate in a rotating on-call schedule

Administrative & Team Support

  • Maintain accurate records and documentation
  • Communicate with lawyers and internal stakeholders across offices
  • Assist with additional intake/conflicts projects and team support as needed
  • Help ensure requests are completed accurately and within deadlines

Must-Have Qualifications

  • Minimum 3 years of experience in a similar intake/conflicts role within a law firm
  • Strong understanding of legal intake and conflict of interest processes
  • Experience working in high-volume, deadline-driven environments
  • Strong attention to detail and organizational skills
  • Ability to manage competing priorities independently
  • Strong communication and interpersonal skills
  • Willingness to work Eastern Time business hours regardless of location
  • Comfortable attending the office as needed (approximately 1-4 days/week depending on office location/team requirements)

Nice-to-Have Qualifications

  • Experience with Intapp, Aderant, World-Check, or similar systems
  • Exposure to KYC or due diligence processes
  • Bilingual English/French
