Youth Wellness Hubs Ontario (YWHO, www.youthhubs.ca) is a network of 32, Integrated Youth Services networks that currently operate in over 40 communities, where young people ages 12 to 25 years have walk-in access to youth-centered, community-based mental health and wellness services. YWHO engages youth, family members, service providers, and other partners through a co-creation process, enhancing the relevance, acceptability, and youth friendliness of services. The hubs are provincially consistent in core features and locally led and adapted to offer and connect to a range of evidence- based services-mental health care, substance use health services, primary care, education, employment, housing, peer support, family support and care.
Reporting to the Director of Operations, we are seeking a full-time, permanent Manager of Operations who will contribute to the planning, development and implementation of key projects within the YWHO portfolio and across the YWHO network, including financial reporting, implementation of program-wide Standard Operating Procedures and the YWHO Strategic Plan. The Manager of Operations will be expected to effectively collaborate and work in partnership with stakeholders across the YWHO Provincial Office, YWHO hubs across the network, as well as Finance, People & Experience, IMG, Facilities and other teams across CAMH. Primary Responsibilities:
- Work closely with the YWHO Executive Team to ensure that portfolio priorities, tasks and timelines are established, implemented and measured
- Lead strategy development to solve for YWHO-specific operational issues, or elements of the enterprise strategy, working cross-functionally with multiple departments to support Leadership decision-making
- Support the Executive Director to implement strategic initiatives ensuring broad organizational alignment
- Provide strategic and tactical direction to develop and implement processes and planning within YWHO in finance, human resources, technology, administration, facilities, and program development including establishing and implementing standard operating procedures.
- Work with YWHO Executive and Leadership to support the development and monitoring of program and project budgets, payment schedules and support financial forecasting and reporting activities for Leadership and funders.
- Manage the YWHO SharePoint intranet and extranet sites, as well as development and implementation of other digital productivity tools for the Provincial Office and the YWHO Network.
- Lead the administrative function and the admin staff team at the YWHO Provincial Office, coordinate and chair regular meetings for admin team.
- Lead facilitation and logistics for YWHO-wide or priority/project-specific committees and represent the Director as needed
Additional Responsibilities:
- Collaborate with senior organizational leaders to identify strategic initiatives and projects
- Stay current on health system trends and developments to advise YWHO leadership on opportunities and risks
- Develop and manage relationships with internal and external subject matter experts
- Support the development of - and provide guidance to staff - on policies, guidelines and regulations
- Facilitate YWHO-wide operational leadership tables to monitor execution of strategic priorities
- Monitor risks and escalate implementation and performance issues to YWHO Leadership
- Support knowledge translation activities, including presentations, briefs, reports for funders, partnering organization and the general public
- In collaboration with Legal Services, develop, review and negotiate contracts, agreements, other legal documents and strategic alliances with internal and external partners
- Lead large-scale procurement activities of goods and services for the program
- Develop presentations and materials for senior leadership reporting
- Support development of funding and/or grant applications as required.
- Develop and report on performance measures supporting decision-making
- Perform other duties consistent with the job classification
- You have completed a Bachelor’s degree in Business, Health Administration, Education, Finance, or a related field.
- You bring project management experience and 5-8 years of progressive experience in non-profit program or operations management in health, social services, or the broader public sector.
The ideal candidate excels at managing portfolios of strategic projects and enterprise priorities, demonstrating strong operational and strategic thinking, execution abilities and working collaboratively with interinstitutional partners. They communicate complex issues with clarity, effectively synthesizing large volumes of information, and thrive in fast paced, high pressure environments with competing priorities. They show leadership without formal authority and bring strong facilitation, relationship building, negotiation, and interpersonal skills. The candidate has experience working collaboratively with external partners, and internal partners including finance, HR, procurement, education, legal, and capital planning teams, along with a solid background in budget oversight and internal controls. The candidate has experience driving change; identifying opportunities for improvements and successfully implementing changes that improve efficiency and effectiveness of program operations. They promote a culture of collaboration, equity, diversity, and workplace wellbeing. Technically, the ideal candidate is proficient in Microsoft Word, Excel, PowerPoint, and SharePoint. This position is located at 80 Workman Way, in Toronto.
Compensation & Benefits:
- Salary is competitive and based on experience, with a hiring range of $100,475.26 - $125,594.08 per year.
- Employees in this role may progress within the full pay range of $100,475.26 - $150,712.90 per year
