Description
Reporting to the managers of Gastroenterology/Hepatology and GI Central Access Triage, the casual Administrative Support III plays a key role in supporting the delivery of efficient, patient-centered care within two busy departments: the GI/HEP outpatient clinic and the GI CAT program. Within GI CAT, the successful candidate is responsible for referral data entry, maintaining referral and letter workqueues, responding to enquiries from and sending updates to referring providers, and collaborating with a multidisciplinary team to ensure referrals are managed safety and efficiently. When assigned to the outpatient clinic, this position is the first point of contact for patients and visitors, responsible for providing exceptional customer service while facilitating the day-to-day operations of the clinic. Key responsibilities include reception and clerical duties, assisting patients with forms and consents, triaging incoming telephone calls and correspondence, conducting appointment reminder calls, and processing selected physician orders. Working in a high-volume, fast-paced environment, this role requires strong organizational, communication, problem-solving, and multitasking skills, along with meticulous attention to detail. The ability to work effectively both independently and as part of a team is essential. The clinic currently operates Monday through Friday between 0645 and 1800 (7.75 hour shifts), with hours subject to change based on operational requirements. This position offers opportunities for cross-training and development within the department, including Endoscopy Unit Clerk (ASIV), and GI/Hepatology Procedure Booking Clerk (ASIV).
As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Completion of Medical Office Assistant course required. Minimum of one year in a medical clerical position required. Accurate keyboarding skills with a minimum of 45 wpm required. Ability to work with various types of equipment including fax machines, photocopiers and printers required. Professional phone etiquette and fostering positive patient and colleague relationships is necessary. Organization, prioritization and time management are essential. Must be able to function in a high volume, fast-paced multidisciplinary environment with frequent interruptions. Physical requirements include manual dexterity, frequent walking, frequent computer work and ability to carry up to 15 lbs. Knowledge and understanding of GI/Hepatology terminology, procedures and tests. Experience in referral management with training in Connect Care to the referral coordinator role and workqueue management preferred
