Position Summary:

Under the supervision of the Clinical Service Lead- Spiritual Health, the Coordinator of Volunteers effectively utilizes all volunteers, providing a structure that allows volunteers personal growth while meeting program needs for all Eden programs.

Qualifications:

  • Education/Certification:
    • High School Diploma required
  • Experience:
    • Experience in organizing and coordinating the activities for groups of people required
    • Experience in volunteer work an asset
  • Knowledge, Skills and Ability:
    • Ability to relate to people of various backgrounds
    • Strong organizational skills
    • Ability to appropriately delegate tasks based on individual’s skills and strengths
    • Knowledge of managing a departmental budget
    • Excellent oral and written communication skills
    • Aptitude for teaching and motivating others
    • Ability to work independently
    • Working knowledge of Microsoft Office programs
    • Strong understanding of the benefits of utilizing volunteers in a publicly-funded organization

Other Requirements and Conditions of Employment:

  • Satisfactory Criminal Record Check (with the Vulnerable Sector Check)
  • Satisfactory Child Abuse Registry Check
  • Satisfactory Adult Abuse Registry Check
  • Valid Driver’s License
  • Current Vehicle Registration, indicating 3rd Party Liability Insurance of $1,000,000 or more

Principal Duties and Responsibilities:

Volunteer Coordinator Duties:

  • Develops Volunteer Program objectives and implements evaluation to ensure overall effectiveness of the Program
  • Creates volunteer recruitment and retention strategies
  • Updates and maintains policies and procedures related to the Volunteer Program in collaboration with Clinical Service Lead - Spiritual Health
  • Provides encouragement and support necessary to facilitate a sense of teamwork among staff and volunteers.
  • Develops job descriptions for volunteers in consultation with management, keeping in mind program needs and appropriate volunteer involvement
  • Encourages and supports implementation of ongoing training, supervision and evaluation procedures for all volunteers
  • Maintains a working relationship with program staff as well as with individual volunteers and relevant community organizations
  • Ensures that all volunteers receive appropriate recognition through both formal and informal methods
  • Maintains personnel files for volunteers, including: application form, signed position description, confidentiality form(s) and commitment forms, record of time involvement, training received and evaluation. Personnel files of volunteers working one-on-one with patients/clients also include: Criminal Record Check, Adult Abuse Registry Check, Child Abuse Registry Check and proof of valid Manitoba Driver’s licence
  • Maintains and updates volunteer contact information
  • Provides updated volunteer lists for each program
  • Prepares monthly calendar listing volunteer related activities
  • Develops posters, pamphlets, handbooks, etc. required for the Volunteer Program.
  • Handles correspondence associated with the Volunteer Program
  • Compiles and documents statistics and financial/budget information regarding the Volunteer Program for Administration and for funding groups
  • Monitors program needs on a continuing basis for volunteers and volunteer services
  • Participate and work alongside volunteers in all areas to create an atmosphere of care and appreciation for volunteers and clients participating in activities
  • Assist in client activities when there is a shortage of volunteers
