Shared Health leads the planning and coordinates the integration of patient- centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.
MAIN FUNCTION:
Develops, maintains and updates a variety of databases including data collection and entry for the Provincial Injury Near Miss Intake team, provides direct client communication and support for the Provincial Injury Near Miss Intake team. May provide support to OESH programs as directed by Shared Health.
Takes the initiative to handle matters and solve administrative problems not requiring the direct personal attention of the supervisor(s). Participating as a member of the portfolio in a manner that contributes to teamwork and collaboration.
MAJOR RESPONSIBILITIES:
- composes routine correspondence as directed.
- designs templates, spreadsheets and form letters.
- acts as a receptionist for the area where appropriate, including greeting visitors, handling inquires and redirecting as appropriate.
- receives telephone calls, relays messages as appropriate and responds to regional inquiries dealing with operations and various corporate procedures.
- develops, maintains and updates a variety of databases including data collection and entry.
- prepares notices of regular standing meetings, agendas, minutes and relevant background information and distributes in a timely manner. Attends meetings to record minutes.
- develops, maintains and revises office filing system.
- opens, sorts, logs, prioritizes and distributes incoming mail and other material and coordinates the flow of information.
- assembles, photocopies, collates, indexes, distributes, faxes and emails a variety of material as required.
- may be required to monitor office supplies, order and maintain inventory of same and organize and maintain a purchasing record system.
- maintains absolute confidentiality of all client and job related matters.
- provides back up assistance to other administrative staff.
- adheres to all safety and health regulations and safe work practices.
- may be required to perform other duties and functions related to this job description not exceeding above stated skills and capabilities.
- Two years directly related experience.
- Experience scheduling and coordinating meetings.
- Ability to record and prepare minutes and agendas.
- Previous healthcare experience would be an asset.
- Complete high school education, Manitoba Standards, required.
- Formal training in applied office skills is required.
- A combination of education and experience may be considered.
- Typing speed 50 wpm.
- Proficiency with computerized systems (Microsoft Word, Access, PowerPoint and Excel) is essential.
- Experience with email and computerized calendars.
- Working knowledge of SAP, ESP, QHR, RL6 and ITSM and Bright Pattern is preferred.
- Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines.
- Demonstrated problem-solving skills.
- Demonstrated ability to effectively contribute to a team environment.
- Required to work for long periods of time at a computer.
