Reporting to the IT Manager and working within the IT Project Management Office, the Collaboration Systems Analyst designs, develops, and maintains solutions and workflows using low code/no code development tools such as Sharepoint, Power Automate, and Power Apps to streamline processes, enhance collaboration, and drive efficiency across the organization.

The successful applicant for this unionized Education Support Staff position, Level H ($74,462 - $85,666) , will work thirty-five (35) hours per week, twelve (12) months per year effective as soon as possible.

Responsibilities:

  • Design, develop, and maintain solutions and workflows using low code/no code development tools, such as SharePoint, Power Automate, Power Apps, Laserfiche and Microsoft Lists.
  • Assist in the designing, implementing and maintaining a vision and three-year plan related to WRDSB collaboration and workflow systems as a component of the larger IT Service planning cycle.
  • Develop and support collaboration and workflow solutions for Learning Services, Human Resources, Finance, Facilities, Security, Information Technology and other Board departments to improve efficiencies and system supports.
  • Support the life cycle and maintenance of collaboration and workflow systems including availability, performance and security in accordance with agreed upon service level agreements.
  • Collaborate with stakeholders to understand business requirements and translate them into efficient, streamlined workflow solutions.
  • Document design specifications, configurations, and workflows for reference and future enhancements.
  • Collaborate with cross-functional teams including IT, business analysts, and end-users to deliver high-quality solutions on time and within budget.
  • Work with the infrastructure/security team to ensure solutions are fully secure in accordance with Board standards. Manage security roles for users, and assign proper permissions and access.
  • Responsible for changes to production environments, including maintaining data, updating applications, creating roles, and maintaining security.
  • Follow change control and testing processes for modifications to collaboration tools and workflow solutions.
  • Practice agile leadership by leading sprints for small to medium size projects, ensuring quick, reliable, and timely delivery of outcomes.
  • Ensure data accuracy, consistency, and integrity across all solutions.
  • Optimize solution performance and user experience through effective design and configuration to ensure reliability, scalability, and performance.
  • Apply user experience design principles to create intuitive and user-friendly interfaces for collaboration tools. Conduct user testing and gather feedback to improve usability.
  • Analyze and resolve issues facing users, including technical support and troubleshooting of system errors and performance issues.
  • Provide technical guidance and support to end-users in the creation, customization, and execution of workflows. Develop and maintain a comprehensive knowledge base for collaboration tools and workflows. Ensure documentation is up-to-date and easily accessible to users.
  • Ensure all collaboration solutions are designed with inclusivity in mind. Conduct accessibility audits and make necessary adjustments to accommodate all users.
  • Integrate workflows with other applications and third-party systems as needed.
  • Conduct training sessions and workshops to enhance collaboration tool skills among end-users.
  • Stay updated on the latest trends and best practices in workflow automation and AI, and contribute to continuous improvement initiatives.
  • Other duties as assigned.

Qualifications:

  • 3+ year degree or diploma in Computer Science, Information Systems, or related field.
  • 3+ years of proven experience in developing solutions using Sharepoint and the MS Power Platform (Power Automate, Power Apps).
  • MS Power Platform certifications or equivalent are preferred.
  • Expected to stay up to date with current trends and technologies.
