Reporting to the Manager, Medical Affairs, Coastal Community of Care, the Coordinator, Locum and Rural Virtual Support works closely with the internal and external partners to support locum services at priority sites within Vancouver Coastal Health (VCH). This includes collaboration with local medical leadership, provincial locum pool(s), Rural Coordination Centre of BC (RCCbc) Real Time Virtual Support (RTVS) program and VCH staff and medical staff to coordinate required activities to support coverage at rural sites or other assigned service areas. Through engagement and consultation with medical staff, site operations and medical leaders, this position coordinates and implements processes to support service delivery.
As a Coordinator, Locum and Rural Virtual Support, Medical Affairs with Vancouver Coastal Health you will:
- Coordinate the required activities with local medical leadership, clinical operations, provincial locum pool(s) through PHSA, and RCCbc to support locum placement and/or stand up RTVS coverage at rural acute care sites, or other sites as assigned.
- Develop a strong understanding of locum and RTVS programs, including policies, processes, and relevant partner to evolve into a subject matter expert.
- Identify communication opportunities and facilitate the exchange of information to increase collaboration between partners and communities.
- Monitor the function and implementation of locum and RTVS programs in VCH and make recommendations for system and process improvements. Report any system issues to appropriate departments within VCH for improvement.
- Be the main point of contact, coordinate locum pool placements and RTVS coverage requests RTVS programs, local medical staff, site management, Division/department leads, and other partners as required. Coordination involves: requesting locum or RTVS physician coverage; requesting back-up in-community medical staff coverage as required; ensuring all medical staff have site privileges and VCH systems access; and confirming with site management that staffing levels at the site can accommodate virtual coverage.
- Create and maintain an orientation and implementation guide for sites that are new to the provincial locum pool or RTVS programs. Work with local site and department managers, orient them to the programs, requirements, expectations, and gather data required for implementation.
- Create and maintain a manual of the RTVS Program processes and contact information specific for each site utilizing virtual coverage.
- Create and maintain a centralized scheduling process to track all locum pool or RTVS program requests and monitor coverage status updates.
- Collaborate with locum pool and/or the RTVS program and VCH Credentialing & Privileging department, maintain a current list of locum pool and RTVS medical staff, along with their privilege status within VCH.
- Use virtual service for all parties participating in the shift changes and/or consultation sessions. Provide emergency contact information to staff and medical staff for any connection or system related issues during shifts.
- Seek opportunities to support other rural programs as required.
- Carry out responsibilities in accordance with health and safety requirements. Immediately report unsafe situations by notifying supervisor or other appropriate personnel.
- Perform other related duties as assigned.

Education & Experience
- A two-year post-secondary certificate in office administration or a healthcare-related field with one or more disciplines in Health Care Administration, supplemented with three (3) to five (5) years’ recent, related experience including working with medical leaders, health care providers and staff, including experience with and understanding of the complexity of the healthcare system and of the operations of the Health Authority.
- Previous experience working in rural health care programs an asset. Or an equivalent combination of education, training, and experience.
Knowledge & Abilities
- Experience working with medical staff, health care providers and support staff.
- Excellent judgment in setting priorities, identifying issues and determining action required when working under pressure and deadlines.
- Experience in implementing change management strategies an asset.
- Excellent communication, interpersonal, and organizational skills.
- Ability to perform multiple tasks, balance priorities, and meet deadlines.
- Ability to work independently and as a member of the team.
- Develops and maintains strong relationships with key internal and external partners to promote and enhance services provided with sensitivity to diversity and indigenous lens.
- Practices the recognition, inclusion and support of all types and aspects of diversity at all stages of engagement, with an understanding of the issues faced by people from equity-deserving groups.
- Physical ability to perform the duties of the position.
The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.
As per Ministry of Health policy, all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks.
