General Purpose
The Administrative Assistant, Director of Student Housing Operations is a key member of the Facilities & Desk Services Team, providing administrative support and coordination on behalf of the management team comprised of the Director of Operations, the Facilities Manager, and the Desk Services Managers.
Duties and Responsibilities
Specifically, the Administrative Assistant provides administrative support to management and coordination of the schedules for the Facilities and Desk Services management team, including the scheduling of meetings and appointments. The Administrative Assistant attends all related meetings in the capacity of recording secretary providing minutes, following up on action items and the preparation of reports. The Administrative Assistant maintains inventory of departmental building and special keys and assigns as per departmental procedures. The incumbent orders equipment and supplies to support facilities and desk services functions. They direct general inquiries and provides information to staff and students. The Administrative Assistant initiates work orders and triages work orders entered by others. They act as a liaison with Physical Resources to ensure work order fulfillment has minimal impact on the operations of the residences.
Requirements
- One (1) year community college diploma in a related field along with at least one to two years related experience in a departmental/student services support position, or an equivalent combination of education and experience.
- Demonstrated proficiency in using Excel, MSWord, Power Point, Publisher.
- Demonstrated oral and written communication skills;
- Excellent organizational and multi-tasking skills;
- Demonstrated problem solving, analytical and decision making skills;
- Is customer service focused communicating with tact and diplomacy;
- Ability to work independently in a busy environment.
