Description
Our public sector client is seeking a Part-Time Sr Records and Information Management Consultant
Initially a 12-months contract to start with possibilities of renewals. Part-time engagement of up to 10 hours/week maximum.
The RIM Specialist will report to the General Counsel & Corporate Secretary and work closely with the Digital Transformation Lead and Project Management Office. Regular updates will be provided through bi-weekly status reports and committee meetings. Client is undergoing a multi-year Digital Transformation Program. This is a comprehensive program to modernize operations, enhance the experience of clients and partners, and improve data-driven decision-making. The program includes several interrelated projects that will impact how client, staff, and lawyer information is managed across digital platforms. Ensuring proper records and information governance is critical to maintaining compliance, privacy, and operational integrity. To support this work, the client is seeking a Records and Information Management (RIM) Specialist to champion this RIM principles across technology projects. This Scope of Work defines the responsibilities and expectations for the RIM Specialist who will support these initiatives.
Must Have:
· Post-secondary degree in Archival Studies, Library and Information Science, and/or an equivalent combination of training and experience such as specialized training or certification from the ICRM
· 4 years of experience in records and information management, preferably in public sector or other regulated environments
· Strong understanding of privacy legislation and information governance frameworks
· Experience supporting digital transformation or technology implementation projects
· Experience with classification systems, retention schedules, and metadata standards
· Demonstrated experience in developing and implementing enterprise-wide RIM programs and policies
· Certification in RIM (e.g., CRM, IGP) or related field is an asset
The RIM Specialist will support the General Counsel in ensuring that records and information management practices are aligned with legal, regulatory, and organizational requirements throughout the Digital Transformation Program. They will ensure that within these projects, practices are aligned with legal requirements and best practices to manage risks and ensure operational success in the management of its recorded information.
The RIM Specialist will be expected to support a program of multiple, concurrent projects. Responsibilities for this role include:
· Collaborate with project teams to assess RIM implications of new technologies and workflows.
· Support the development and implementation of records retention schedules and classification schemes.
· Advise on privacy, security, and compliance requirements related to digital records.
· Assist in the development of policies and procedures for digital information governance.
· Participate in stakeholder consultations to understand information flows and risks.
· Review and provide input on contracts, data sharing agreements, and system designs from a RIM perspective.
· Support change management and training efforts related to RIM practices.
· Maintain documentation and provide regular updates to the General Counsel.
· Ensure records and information management practices are integrated into all relevant digital transformation initiatives.
· Support the General Counsel in identifying and mitigating legal, privacy, and compliance risks related to digital information.
· Develop and maintain records retention schedules and classification schemes aligned with legal and operational requirements.
· Contribute to the creation and implementation of policies and procedures for digital records governance.
· Provide expert guidance on privacy and other applicable legislation as it relates to client, staff, and lawyer information.
· Collaborate with project teams to assess RIM impacts of new systems, workflows, and data architectures.
· Assist in the review of contracts, data sharing agreements, and technology solutions from a RIM perspective.
· Support change management efforts by contributing to training materials and stakeholder engagement strategies.
· Maintain clear documentation of RIM activities, decisions, and recommendations for reporting and audit purposes.
