Human Resources Assistant

Under the supervision of the Executive Assistant Human Resources, this position is a vital part of the Human Resources Team. The Human Resources Assistant provides administrative/clerical assistance to the team responsible for overseeing the teaching staff portfolio. The Human Resources Assistant will serve as the initial contact person for Human Resources inquiries from District staff and the public; provide coverage for our staff dispatch system and reception; prepare, distribute and file a wide variety of letters, materials and communication to employees and job applicants; maintain databases and file systems; and perform other related tasks. The need for professionalism and confidentiality is critical in this position.



Duties include:

  • prepare and monitor a variety of letters and reports and compile supporting documentation for teaching Staff;
  • maintain a variety of files and records, including teaching staff electronic files;
  • prepare a variety of materials including correspondence, reports, contracts, etc. using a variety of computer programs;
  • maintain computerized database information (CIMS) for teaching staff;
  • receive, screen, and direct phone calls and mail;
  • respond (on the telephone and/or in person) to personnel inquiries (including highly sensitive issues and confidential information;
  • provide coverage occasionally to the district dispatcher and district receptionist;
  • communicate with staff and others and respond to inquiries and provide information.



The successful candidate will possess the following qualifications:

  • six (6) months' secretarial training (Office Administration Program) at a recognized Community College;
  • three (3) years' previous recent related secretarial experience;
  • successful completion of District clerical assessment;
  • a net typing speed of fifty (50) words per minute;
  • the ability to work under pressure in a wide variety of assignments as the duties are specialized;
  • Proficient in the Microsoft 365 suite-including Word, Excel, PowerPoint, and Outlook-along with advanced experience in Teams and OneDrive for collaboration and productivity and skilled with Adobe and using databases.



The successful applicant will be expected to:

  • gain knowledge and experience with Comprehensive Information Management (CIMS) and the automated Dispatch System (SFE) & Laserfiche;
  • maintain a high quality of work in a high-volume environment including accuracy and dependability;
  • possess excellent knowledge and understanding of collective agreements and District's policies and procedures;
  • possess excellent organizational, communication and interpersonal skills;
  • complete the required District's Health and Safety training.



This is a permanent full-time position beginning as soon as possible with a regular schedule of 35 hours per week at a wage rate of $30.89 per hour plus a comprehensive employee benefit package including extended health and dental coverage, short-term and long-term disability insurance and participation in a defined benefit pension plan.
