HR Assistant - Academic Division1.0 FTE Term Assignment to August 31, 2026Monday - Friday, 35 hours per weekESP, Level 5 - $49,556 to $61,287 per annum

Job Summary

Under the direction of the Team Manager, Employee Services and/or Human Resources Advisor, the Human Resources Assistant provides administrative support to the Employee Services Elementary Academic team, and serves as the frontline contact for all employee inquiries. Responsibilities include, but are not limited to,

  • Acting as a resource to departmental and other staff by providing general information on staffing/hiring process, terms and conditions of employment, collective agreements, handbooks, and policies and procedures;

  • Maintaining HR customer service telephone line; and forwarding calls/messages to appropriate personnel;

  • Preparing a variety of correspondence such as, offers of employment letters and information packages for new employees as well as retirement/resignation letters, and accompanying documentation;

  • Performing data entry and maintaining multiple spreadsheets and HR databases;

  • Processing new hire packages and creating and maintaining employee files.



Qualifications



  • A community college diploma in office administration and 2-3 years of relevant experience. Experience in a human resources environment; bilingual proficiency in English and French is considered an asset. An equivalent combination of education and experience may also be considered.

  • Knowledge of human resources processes, related Board policies and procedures, and relevant collective agreements and/or handbooks.

  • Advanced level of proficiency with Word and Excel in order to generate and track large volumes of correspondence and other related HR documents.

  • Proficient in other software applications including Google Docs/Sheets, HR/Payroll Integrated System (IPPS) and Apply to Education.

  • Essential to this position is the ability to organize and manage workload, multiple & conflicting priorities and demands while meeting daily and weekly deadlines.

  • Excellent interpersonal and communication skills required for exchanging, directing and/or providing general HR information to others using tact, diplomacy and discretion.

  • Protecting confidentiality, integrity and privacy of employee information and files.

  • Must be able to demonstrate initiative and use good judgment skills.

  • Demonstrates a commitment to customer service, and ability to work independently and with minimal supervision.



Application Process

Applications will be considered in accordance with the ESP Collective Agreement, in the following order:

1. First consideration is given to Regular full-time and Regular part-time employees within ESP bargaining unit. You must apply to the Internal Posting.

2. Term and casual employees within ESP bargaining unit are given 2nd consideration. You must apply to the posting marked as 'external'.

3. External applicants (including Board employees that do not belong to this bargaining unit) will be considered only if applications from 1 & 2 have been exhausted.

If you are a Regular part-time ESP member and also on the ESP Casual List, you will see both postings. However, you must apply to the "Internal" Job posting in order to be given 1st consideration.

In accordance with the collective agreement, a newly hired regular employee is not eligible to accept another position (i.e. move positions) for a period of six (6) months.

Evaluation & Assessment: In accordance with the Ottawa-Carleton District School Board's Administrative and Support Staff Selection Process, the evaluation and assessment of candidates will be completed using the following four (4) identified areas of performance: Organizational and Management Skills, Communication, Interpersonal Skills, and Knowledge and Practice, as they relate to the duties, qualifications, knowledge and education outlined above.
