Human Resources Administrator (1 Year Contract) 

 

Maple Reinders is currently searching for a motivated Human Resources Administrator to work out of our Mississauga, Ontario head office on a 1 year contact. The Human Resources Administrator plays a key role in supporting the Human Resources division by providing broad administrative and coordination support to the HR team and Maple Reinders employees. This position is responsible for coordinating employee initiatives, maintaining and updating employee records, supporting onboarding and training programs, handling day-to-day HR administration, and contributing to the overall efficiency and effectiveness of HR operations.

 

Key Accountabilities:

HR Administration

  • Set up, maintain, and update employee files and records (Server, Portal, HRIS Dayforce).
  • Enter new hires and update employee information in Dayforce; ensure collection of all required documentation.
  • Assist employees with Dayforce access, password resets, and general navigation.
  • Respond to general HR inquiries and route requests as needed.
  • Track and send performance review reminders for new hires.
  • Prepare letters of employment, employment verifications, HR forms, and related correspondence.
  • Assist with HR metrics, compliance tracking, and general data entry.
  • Support HR audit preparation by organizing documents and ensuring accuracy.
  • Support TA initiatives, Co-op Programs, and represent Maple at Career Fairs as needed.
  • Maintain utmost confidentiality of employee information.

HRIS, Reporting, and Record Keeping

  • Ensure accurate and consistent data entry of employee information into Dayforce.
  • Communicate HR updates and employee changes to HR and TA teams as required.
  • Update weekly, monthly, and quarterly HR metrics and reports (e.g., new hires, terminations, headcount, turnover, recruiting costs, layoff and seniority lists).
  • Upload employee headshots and update profile photos for Teams and Outlook.
  • Transmit weekly employee and HR data changes to Payroll for processing.
  • Develop strong understanding of Dayforce functionalities and support end-users.
  • Recommend process improvements and better utilization of HRIS capabilities.

Onboarding and Offboarding

  • Manage onboarding and offboarding for all new hires, ensuring smooth communication and timely completion of all required documentation.
  • Prepare orientation packages and assist in facilitating new hire orientation.
  • Coordinate and track apprentice onboarding aligned with Maple’s Apprenticeship Policy & Procedure.
  • Coordinate first-day logistics (equipment, system access, agendas) with internal teams.
  • Schedule onboarding sessions and send invitations to hiring managers and support teams.
  • Support updates and improvements to the onboarding program.
  • Ensure completion of Portal training modules and track compliance.
  • Send Onboarding Survey, collect feedback, and maintain records for continuous improvement.
  • Order welcome packages, gifts, and SWAG according to inventory levels.
  • Review onboarding processes and recommend enhancements based on best practices.

Training and Development Coordination and Administration

  • Support development, drafting, and tracking of the Career Development Matrix and departmental Employee Development Plans.
  • Draft eLearning content, training catalogue materials, scripts, and templates.
  • Assist with grant application administration for training opportunities.
  • Coordinate internal training logistics (calendars, invitations, attendance tracking).
  • Maintain training documentation and update the Training Database on the Portal.
  • Communicate with training providers and schedule external courses.
  • Prepare training materials, PowerPoints, and documentation as needed.
  • Support rollout of new training initiatives and assist with internal communications.
  • Report monthly training hours and submit totals for the Balanced Scorecard.
  • Deliver training to employees and leaders on policies and procedures (e.g., onboarding, buddy system, portal overview, benefits summary, time management).

Employee & Labour Relations Support

  • Coordinate with CLAC regarding apprenticeship documentation and requirements.
  • Administer apprenticeship programs in AB/BC/ON in accordance with provincial requirements.
  • Coordinate and track all employment changes (LOA, STD/LTD, layoffs, terminations, apprenticeships, extended leaves).
  • Communicate updates to HR and TA teams to ensure alignment and accurate tracking.
  • Work closely with HR and union representatives to support hourly employees and ensure paperwork and apprenticeship programs are maintained in accordance with Maple’s policies and procedures.

 

Qualifications:

 

  • Post-secondary education - University Degree or College Diploma in Human Resources, Business Administration, or related field.
  • Certified Human Resources Professional (CHRP) designation or in progress is an asset.
  • 1-2 years of experience working in a Human Resources capacity.
  • Experience within the construction industry or in a labour relations environment is considered an asset.
  • Proficient with MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with HRIS systems; Dayforce (Ceridian) is an asset.
  • Valid driver’s license may be required as occasional travel to project sites is required.

Pay Range: $21 - $26 / hour (depending on previous experience)
